Overview:

Position Summary:

The Manager of Lab Operations provides leadership and oversight to laboratory managers and staff within an assigned market to ensure the laboratory network produces a quality product in an appropriate service time. The ideal candidate is a subject matter expert and a consultant in ADDL processes and procedures. This position is also responsible for conducting comprehensive training for all new hires and communicating operational updates to lab employees.

Responsibilities:

GENERAL DUTIES & RESPONSIBILITIES:

KPI’s

Support Implementation of Standard Operating Procedures: Facilitate the ongoing adoption of ADDL Standard Operating Procedures across affiliated laboratories.

Technical Assessment: Assist in evaluating new and existing ADDL employees.

Prospective Employee Evaluation: Participate in the technical assessment of potential ADDL employees to ensure the selection of qualified candidates.

New Lab Hire Onboarding: Conduct comprehensive onboarding training for all new laboratory employees to enhance their understanding of their responsibilities and familiarize them with the available tools, ensuring a smooth and successful transition into their roles.

Technical Training and Support: Provide technical training and support to established ADDL laboratories as needed, ensuring consistent and high-quality operations.

Time Management Approval: Help approve and oversee time management processes within the Time Management platform.

Inventory Control and Expenditure Oversight: Manage inventory control and oversee monthly forecasted expenditures to ensure effective resource utilization and budget compliance.

Reporting

Site Visits and Reporting: Conduct regular site visits and provide comprehensive written updates to the Director of Laboratory Operations Excellence as required.

Monthly Communication: Facilitate regular phone calls with the Laboratory Manager and Practice Owner and/or Managing Dentist to discuss relevant matters.

Collaborative Meetings: Organize regular meetings with MFOs to collaborate on clinic and laboratory workflows within the lab management platform.

Regular Reporting: Submit detailed reports to the Director(s) of Laboratory Operations, highlighting concerns, issues, and positive developments within the Laboratory and Dental Center.

Personnel

Technician Recruitment Coordination: Direct all technician recruitment matters to the corporate recruiting department.

Applicant Screening and Assessment: Conduct interviews, assessments, and screenings of applicants as requested by the corporate recruiting department.

Employee Performance Evaluation: Assess employee progress to enhance job efficiency during site visits.

Staffing Responsiveness: Address staffing needs for each laboratory as requested by Laboratory Operations or Clinical Operations.

Operations Manual Adherence: Be thoroughly familiar with the ADDL Operations Manual (OPM) and the Laboratory Managers Operations Manual (LMOM). Implement and oversee training initiatives for labs and individuals as directed by the VP of Lab Operations and Directors of Lab Operations.

OSHA Compliance: Ensure all laboratories and employees adhere to OSHA guidelines.

Laboratory Staffing: Coordinate with MFO to secure coverage for laboratory absences due to illness, leave, or other reasons. Collaborate and arrange inter-lab employee transfers, both permanent and temporary.

Quality Support Recommendation: Advocate for using ADDL Hub to support quality, production, and consistency.

Laboratory-Dental Center Relationships

Consultation and Collaboration: Engage with the Director of Field Operations, Directors of Laboratory Operations, and VP of Laboratory Operations as necessary.

Liaison Responsibilities: Act as the primary liaison between Dentists and the Laboratory Manager.

Client Satisfaction Management: Ensure Client Dentists' satisfaction with laboratory operations, focusing on quality, service time, personnel, and supplies.

Professional Standards: Uphold and demonstrate the highest standards of professionalism in interactions with all laboratory teams, Dentists, and support staff.

  

Expansion Projects

Supply and Equipment Procurement: Assist with purchasing supplies and equipment through Affordable Care’s Purchasing Department. Seek approval from the Director of Laboratory Operation and Director of Operations for CapEx supplies.

New Center Coordination: Collaborate with the New Center Opening team to coordinate setup and pre-opening tasks, ensuring operational efficiencies in new lab establishments.

Company Initiative Support: Assist in company initiative projects as requested by the VP of Laboratory Operations and the Director of Laboratory Operations.

Administrative/Clerical Tasks

Regular Communication: Maintain regular contact with Laboratory Managers via telephone, Teams, or email. Communicate significant issues in your assigned region with the Director of Field Operations. Contact managing dentists or practice owners as needed. Coordinate and conduct regular site visits, reviewing and completing the Scorecard Assessment during each visit for reference during office reviews.

Laboratory Correspondence: Manage inter-lab memos and distribute copies of materials to laboratories as requested.

Routine Administrative Tasks: Perform general routine tasks to support laboratory operations.

Regional Updates: Maintain and update records of all pertinent lab and dental center information, action plans, and logs of site visits.

Confidential Information Management: Keep a planning book for urgent or confidential laboratory information, including news and issues.

Laboratory Work Files: Maintain detailed "work files" for each laboratory.

Technician Transfers: Arrange all details for temporary transfers of technicians as directed.

Employee Status Changes: Complete and submit Employee Status Change forms to Human Resources for any laboratory staffing changes.

Workers’ Compensation Claims: Assist Laboratory Managers in routing Workers’ Compensation claim information to the Human Resources Department.

Medical Leave Coordination: Coordinate with the Human Resources Department to efficiently respond to and evaluate all Medical Leave of Absence requests.

HR Communications: Communicate necessary updates from the Human Resources Department to all employees, such as open enrollment periods.

Case Flow Management: Manage case flow through data collection on the reporting platform.

  

Laboratory and Dental Center Travel

Site Visits and Evaluations: Conduct trips for employee evaluations, training, workflow analysis, resolving personnel issues, technician interviews, troubleshooting, and addressing the needs of dental centers.

Emergency Coverage: Provide emergency fill-in at the workbench for your region as needed, with approval from the Director of Laboratory or VP of Laboratory.

Reporting and Evaluation: Evaluate and prepare written reports for the VP of Laboratory Operations on the following issues:

Laboratory and dental center relations

Quality of cases

Production and service times

Personnel issues

Condition of the laboratory and grounds

Equipment status

Inventory and supply levels

OSHA compliance

Feedback from dentists regarding laboratory performance

Any other information pertinent to laboratory operations

On-site record-keeping and filing systems (e.g., timesheets, warning notices, attendance records)

Qualifications:

GENERAL KNOWLEDGE, SKILLS & ABILITIES:

Educational Requirements:

Degree: Associate's or Bachelor's degree preferred, or equivalent relevant experience.

Experience: Minimum of 5 years in a dental laboratory with increasing responsibilities, including experience working with multi-site hospitals, health systems, payers, health, vision, and pharmaceutical organizations.

Certification: Certified Dental Technician (CDT) is required, or certification must be completed within one year of the start date.

Expertise: Extensive experience in dental laboratory operations and services.
