Overview:

The Office of the Provost and Executive Vice President is looking for an experienced professional to join our team as a Program Coordinator II in a dynamic, collaborative office environment. The primary role of this position is to coordinate the fiscal, administrative and operational activities of USU’s Commencement programs and activities at both the Main and Statewide Campuses. In this role, you will utilize your exceptional organizational and communication skills to administer work that is critical to advancing academic excellence at Utah State University. You will be an adaptable team player who can manage or lead several tasks and projects independently. The Office works collectively to cultivate diversity of thought and culture and a sense of community and inclusion for all at USU. The breadth of work performed in this office offers personal and professional growth opportunities.

Responsibilities:

Event Planning and Facilitation: Establish a good working relationship with campus partners. Compile and record all event data for historical use. Communicate ideas, goals, and objectives internally with team members to obtain successful results.University Commencement Events and Programs: Provide leadership and coordination of USU’s commencement planning activities including commencement program development and publishing, correspondence, commencement budget monitoring, website administration, and reporting for all USU campuses and College Convocations. May supervise student workers as needed.

Other Event Planning and Facilitation: Planning, securing venues, catering, invitations and on-site facilitation at various campus-wide events. Back-up within the office for Provost’s office faculty events, such as awards ceremony, development sessions, tenure academy and faculty promotion events. This may occasionally require early or late work hours.

Support to Vice President and Chief of Staff: This position will be an integral member of the Vice President and Chief of Staff’s team to help implement their vision by coordinating and strategizing priorities, programs, and initiatives.Support: Serves as primary point of contact and liaison with other USU offices, students, and visitors; oversees website content and ensures timely updates by designing new content and identifying issues for the website; liaison with IT Website Team; may supervise student workers as needed. Facilitate, organize, and support meetings and special projects; collaborate with other university administrators and offices.

Course Fees Compliance: Support the University Course Fee Committee by facilitating meetings and work performed by members; audit data on a cyclical basis to verify that expenditures comply with approved uses and policy. Perform analysis, communicate discrepancies to the departments, and provide reports to vice president and other stakeholders. Course fees are approved every 3 years on a scheduled cycle, but funds are spent annually.

Research, Documentation and Tracking: Perform research and preparation of complex documents including spreadsheets, charts, graphs, PDFs, and PowerPoints, as well as program tracking software such as Course Dog, ServiceNow and Excel. Creation of analytics using software (e.g. Argos, Excel, etc.) to provide data for decisions and justification of systems.

Financial Management of Event Planning and Programmatic Support:Prepare and track financial records, ensuring accurate, current expenditure information.

Develop comprehensive event/conference budgets and continuously monitor and adjust as needed.

Review service provider invoices and approve payments.

Communicate effectively with clients and university partners to reconcile bills and accounts in a timely manner.

Qualifications:

Minimum Qualifications:

Six years of administrative assistant or office-related experience or an equivalent combination of post-secondary education plus experience.

Preferred Qualifications:

Bachelor’s degree.

Experience with event planning.

Knowledge, Skills and Abilities:

Ability to make administrative/procedural decisions and judgments.

Strong computer skills in Microsoft Office (Word, Excel, Outlook and PowerPoint), and databases.

Project management skills and ability to meet deadlines.

Knowledge of communication principles, media, and marketing techniques.

Ability to coordinate and organize meetings and special events.

Ability to exercise a high level of creativity, decision making, problem solving, and discretion as work is varied and may be undefined.

Ability to work effectively in a customer-service-based office, and to manage multiple tasks in a timely, efficient and detail-oriented manner.

Ability to work independently and with limited or no supervision.

Ability to gather and analyze statistical data and generate reports.

Ability to maintain a high degree of confidentiality, sensitivity and discretion.

Ability to meet deadlines and prioritize workload appropriately, as well as the willingness to adjust responsibilities as needed.

Excellent spelling, grammar, letter-writing and proofreading skills.

Excellent interpersonal and proven customer service skills with the ability to communicate in a professional manner.

Ability to maintain a positive attitude and high level of professionalism.

Willingness to occasionally work some early morning, late or weekend hours for special events or projects.
