About the role:

Okay, we’ve waffled long enough. So let’s get to the good bit: You. As our Business Operations Manager you will sit within our US Sales and Marketing Team reporting into our VP of Sales.

Here, you’ll play a pivotal role in the smooth and successful running of the Sales Team working across both healthcare and retail channels. You’ll be responsible for impeccable onboarding of our customers, providing them with excellent customer service. You’ll be overlooking our internal systems ensuring they’re updated and maintained at all times. You’ll also be providing the relevant and accurate data to the sales team to assess progress and performance.

We’re looking for someone who’s outcome focussed, detail-oriented and highly organised. Someone who thrives in fast-paced environments and enjoys working cross-functionally. 

Location: Remote but candidates MUST be based in NY Metro area, Chicago and/or Cleveland as the team gets together at least once a month

Employment type: Permanent (please note, you must have the right to work in the USA)

Salary: $65,000 - $75,000 + up to 30% bonus 

Requirements

What you’ll be doing at Elvie:

Communicating master data to cover accounts including safety and regulatory compliance, UPC/SKU numbers, MSRP and dealer pricing

Support the NPD process with new accounts including but not limited to; PDP checks, product set-up and cross functional communication between accounts and Elvie 

Maintain accurate customer contact information including; email, fax, phone, contact name/point of contact, as well as all special delivery instructions, receiving capacity, product restrictions in the master memo and all up to date company documentation 

Completing the new ‘customer onboarding process’ both internally and externally for new customers 

Fully own promotional set up process tracking promotional performance and monitoring dealer funding 

Complete new vendor set up forms for customers 

Setup, manage and update product ASIN details in systems

Informing customers of product delays or out of stock items

Maintain all internal systems documentation 

Set up and document customer portals and working closely with the Financial Controller to apply for credit insurance - we use Netsuite 

Provide all Elvie required documentation for new customers

Coordinate and schedule with the sales team any relevant training which is required 

Direct any new sales leads that come through the sales mailbox to the appropriate account manager 

Coordinate with the Marketing team on tradeshows and organising travel arrangements 

Arrange, track and report on any sample units for retail, DMEs, clinicians

Conduct preliminary analysis of sales reports from customers and marketplace data

Maintain training on all products and processes, attending training sessions as required.

Provide shipment updates, revenue, and account performance on weekly, monthly and quarterly basis

Assist with verification of product data on customer websites

What we are looking for:

4+ years of experience of providing administrative support, ideally in a healthcare and/or retail sales environment 

Ability to work well in a fast-paced, professional environment while navigating complex sales processes and multi-stakeholder projects

Highly organised, with the ability to manage multiple priorities 

Proficient and demonstrable experience of using Microsoft Office applications, particularly Excel, along with the ability to learn new programs

Strong attention to detail

Ability to build strong relationships with internal and external customers to enable influencing, managing interdependencies, and delivering results

Exceptional communication skills (verbal and written)

Self starter that is able to adapt to change quickly
