Job Specification: Accounts Assistant
Reports To: Financial Accountant
Job Purpose:
As an Accounts Assistant at Mach Recruitment, you will play a crucial role in maintaining the financial health of the organization. Your responsibilities will encompass credit management, purchase ledger and reconciling Bank payments. You will ensure the accuracy and efficiency of our financial operations and support the Finance team in delivering key financial services.
Key Responsibilities:
1. Credit Management:
* Monitor and manage the accounts receivable ledger, ensuring timely collection of outstanding invoices.
* Perform credit checks on new and existing clients to assess risk and determine appropriate credit limits.
* Resolve client disputes and queries related to invoicing and payments.
* Prepare and distribute regular reports on outstanding debts and collection activities.
2. Purchase Ledger:
* Process and record supplier invoices, ensuring accuracy and compliance with company policies.
* Reconcile supplier statements and resolve any discrepancies.
* Prepare and process payments to suppliers in a timely manner.
* Maintain accurate records of all transactions in the purchase ledger.
* Assist in the preparation of the monthly and year-end accounts by providing necessary documentation and reports.
3. Cash Payments:
* Manage and record cash payments accurately.
* Reconcile cash transactions and ensure that all entries are correct.
* Assist with the preparation of bank reconciliations and ensure all cash accounts are balanced.
* Maintain a secure system for handling and recording cash payments.
4. General Accounting Support:
* Assist with the preparation of financial reports and statements as required.
* Support the Financial Accountant in various accounting tasks and projects.
* Maintain and update financial records and ensure compliance with accounting standards and regulations.
* Provide support during audits and assist in implementing audit recommendations.
Qualifications and Skills:
* Education: Currently studying towards or looking to start the AAT qualification or equivalent experience preferred. GCSEs (or equivalent) in Maths and English required.
* Experience: Previous experience in an account’s assistant role or similar finance position is advantageous.
* Technical Skills: Proficiency in accounting software (e.g., Sage, Microsoft Navision Dynamics 365, Xero) and Microsoft Office Suite, particularly Excel.
* Attention to Detail: Strong attention to detail with the ability to identify and resolve discrepancies.
* Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
* Organisational Skills: Strong organisational and time management skills with the ability to prioritise tasks effectively.
* Problem-Solving: Ability to analyse problems, develop solutions, and implement improvements.
