Office Support Manager

Office Support Manager

Hours: 09:00 to 17h30 Monday to Friday

Purpose of the role:

* To be the first point of contact for people communicating with CPC either in person or by phone, and reflect a positive image of the company.

* To support the Head Office team by carrying out regular and ad-hoc tasks as directed to facilitate the smooth operation of the Head Office facility.

Responsible for

* Ensuring as far as possible things are in place to facilitate the smooth running of Head Office support function

* Purchase of stationery & consumables at economic rates by regularly reviewing supply prices

* Providing accurate administrative support to Operations team as directed.

Key Duties

Office Administration

* To answer all incoming telephone calls, take messages and ensure receipt by intended employee(s).

* To greet visitors, supply drinks etc as appropriate and ensure security/Health and safety procedures are adhered to.

* To organise and coordinate meetings, book meeting rooms and maintain meeting areas and resources as directed. Take ownership of Reception area and take care of flower/plants arrangements.

* To distribute all incoming mail, operate franking machine for outgoing post and arrange for courier bookings. Take post to the post box/office at the end of the day and arrange any recorded/special deliveries.

* To perform minor maintenance on all office equipment (replacing toner cartridges, paper etc) and organise third party maintenance when required.

* Act as a source of contact for all office supplies and facilities (e.g. cleaning, air-conditioning) and when necessary contact companies to repair/obtain quotes.

* To report communal area issues to the landlord.

* Managing the office cleaner (contract)

* To purchase stationery (including business cards) & consumables for Head Office & other offices, as well as other items needed for smooth running of the office.

* Covering duties in the absence of PA’s.

* To undertake general administrative/secretarial duties as directed and maintain office recycling and archiving documentation.

* To maintain and distribute staff contact list on a monthly basis.

* To support the organisation of social events such as the Summer Do, Winter Do and other ad hoc events.

* Printing, photocopying, binding and laminating of documents. Setting up of projector and laptop when required for meetings

* Keep the Health & safety notice board updated

* Keep CPC’s organisation charts updated

* To ensure all process are carried out in accordance with the relevant section of the Management system

* To undertake ad-hoc tasks as directed by management and on own initiative
