Title: Operations Coordinator
Position Reports to: General Manager
Employment Status: Full Time, Non-exempt
Responsibilities:
The Operations Coordinator is responsible for assisting the Operations Management team in the planning, project implementation, resource scheduling, project completion, client satisfaction, and financial outcome of assigned projects. The ideal candidate will be required to work closely with the operations management team in coordinating all contractual requirements throughout the project life cycle. The salary range for this role is $30.00/hour - $42.00/hour, commensurate on relevant experience. The duties of the role include, but are not limited to:
Project submittals & O&M procurement
Assist General Manager/Project Managers (GM,PM) in cost tracking from initial budget to project completion
Change Order tracking
Project percent complete tracking
Record and distribute internal meeting minutes
Generate monthly project reports
Assist PMs with project budget maintenance
Assist GM with weekly project reporting
Work with PM
Chair weekly schedule meeting
Finalize, coordinate, distribute and maintain the weekly field labor schedule.
Work with Admin to get project COIs and Bonds
Work with PMs/Payroll to get payroll accurate on Davis Bacon projects
Ensures all project documentation (JHAs, Dailys, and Toolbox Talks) are completed by technicians and properly saved in project folders.
Work closely with the project managers to understand project schedules and upcoming manpower requirements
Chair weekly safety meetings with the technicians
Maintain safety manual and safety documentation
Manage and approve Tech & Subcontractor (temp worker) weekly timesheet submissions
Work with Sr. Management and HR to coordinate tech training and training documentation
Process and manage travel requests and reservations for Operations staff
Arrange and schedule project turnover meetings
Schedule project status meetings
Arrange and schedule project kickoff meetings
Schedule project closeout and service turnover meetings
Coordinate the project transition to the service department
Manage and update reporting tools for projects as required
Key competencies:
Excellent written and verbal communication skills.
Responsible, self-motivated, detail oriented, personable and well-organized.
Superior customer service skills to deal with both internal and external customers.
Manage multiple tasks simultaneously.
Teamwork and Collaboration
Planning, organizing and implementing skills which allow the successful completion of a project by a specific due date.
Effectively handle stressful situations.
Adaptability to different situations
Attention to detail and high level of accuracy
Minimum Requirements:
3 years coordination experience, preferably in a construction environment.
Proven ability to coordinate multiple projects/activities in a fast-paced environment.
Demonstrated strong interpersonal skills and ability to work with multiple members of a team.
Strong Microsoft Office skills
Accounting experience a plus
Essential Functions:
Requires prolonged sitting, standing, some bending, stooping and stretching. Requires manual dexterity and eye-hand coordination for data input.
Consistent, reliable and timely attendance.
Maintain a clear drug and alcohol screening protocol.
