Job Description
The Cancer Registry Operations Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.
The Cancer Registry Operations Coordinator oversees day to day functions of the Cancer Registry at a hospital or regional level. The department includes Cancer Registrars (data information specialists) that capture a complete history, diagnosis, treatment, and health status for every cancer patient in the Northwestern Medicine Healthcare Corporation system.
The Operations Coordinator provides supervisory oversight to the registrars, and ensures complete and accurate data is entered into the registry. This role ensures adherence to cancer program accreditation standards as outlined by the American College of Surgeons, Commission on Cancer.
The Operations Coordinator also has oversight for registry data reporting which provides essential information to researchers, healthcare providers, and public health officials to better monitor and advance cancer treatments, conduct research, and improve cancer prevention and screening.
Description
Work cooperatively and collaboratively with registry team, medical staff, hospital and physician office staff and leadership to define and achieve common aims.
Oversees daily Cancer Registry operations Ensure review of all case finding resources to identify reportable cases and enter cases into suspense, as relevant to their assigned facilities.
Maintain abstract configuration to ensure appropriate information from patients' electronic and/or manual medical records according to the Commission on Cancer (CoC) standards.
Develop methods and provide leadership for cross coverage of daily registry activities to ensure smooth work flow among individuals and as a team
Oversee orientation of new registry staff
Supervise non-CTR team members and provide oversight of their work
Supervise cancer registrars and senior registrars: approve payroll for registry team members, assist with annual evaluations, monitor compliance with any required education or initiatives, assess progress in meeting registrar’s personal and team goals
Schedule and facilitate registry staff meetings
Monitor compliance with NM cancer registry overall submissions; assess registrar-specific performance and provide coaching as needed
Identify operational, clinical quality, documentation and patient safety improvement opportunities and oversee local improvement activities
Ensure compliance with regulatory organization and accrediting bodies requirementsCoordinate regional quarterly Cancer Committee preparation and annual Survey/Program Activity Records responsibilities as required to meet accreditation by the ACoS
Guide preparation for ACoS survey and lead specific site survey activities as indicated
Uphold legal and ethical aspects of data security and confidentiality.
Attend Quality and Oncology staff meetings, Town Hall meetings and other NMHC MyLearning sessions as requested, and communicate important information to the regional cancer registry staff.
Troubleshoot cancer registry software and IT systems
Completes other duties assigned by System Cancer Registry Manager.
