Executive Assistant (EA) to Chairman

Location: London (City)

Salary: £45,000 - £50,000 per annum + discretionary bonus

Working Hours: 11:00 AM – 7:30 PM, in-office Monday to Friday

Our Client is a well-established small private office based in London, specialising in property and shipment with a global presence. For over 40 years, they have been a key player in their field, providing top-tier services across international locations.

The Role: We are seeking a highly organised and proactive Executive Assistant to provide 1:1 support to Chairman and occasional assistance to a second Director when they are in London. This role involves handling both personal and business affairs, ensuring the smooth running of their day-to-day schedule, particularly when the Chairman is travelling for up to two months annually on business.

Key Responsibilities:

Diary Management: Manage complex calendars, scheduling meetings, and ensuring all appointments are organised efficiently.
Email Management: Handle email correspondence, prioritising and responding to key communications.
Telephone Work: Respond to calls professionally, ensuring messages are relayed accurately and promptly.
Travel Planning: Organise international and domestic travel, including flights, accommodation, and transportation.
Itinerary Planning: Create detailed itineraries for business trips and meetings.
Meeting Support: Schedule and coordinate internal and external meetings, including preparing agendas and relevant materials.
Finance Support: Assist with basic financial tasks, such as expenses and invoice management.
Document Typing: Type documents from dictation with accuracy and efficiency.
Event Support: Assist with planning and coordinating business and personal events. Key Requirements:

Previous experience as an Executive Assistant, preferably in a 1:1 support role.
Exceptional organisational skills with the ability to manage multiple tasks.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office and comfortable with dictation tools.
Ability to work independently and anticipate the needs of senior executives.
Experience with diary management, travel planning, and basic finance tasks. Benefits:
