Admin tasks - what you'll be doing…
Provide professional, accurate and reliable administration support to the Technical Directorate.
Prepare meeting packs, co-ordinating room bookings, book travel, accommodation, pool/hire vehicles and hospitality as required.
Checking of formatting and presentations of documents before submission for approval.
Completing and sending out Minutes of Meetings
Support with Engineering trackers such as: action trackers, open point management, support with updates to reviewer distribution matrix, support with List of Applicable Documents.
Work and closely liaise with other secretaries across the business.
Ad-hoc projects as and when needed
Who you are…
Your background may include some of the following:
Good organisational skills (flexible/organised/methodical), a collaborative approach to emergent/unexpected challenges.
Ability to work independently, multi-task, prioritise actions and deliverables and be proactive.
Excellent communication/interpersonal skills, notably with various levels of the organisation and externally.
The ability to work as an integral part of a team contributing to team success.
Discretion - confidentiality when dealing with sensitive information.
Attention to detail, ability to effectively manage tasks through to completion.
Ability to adapt to new and changing systems.
Use of Outlook or similar diary/email application; Microsoft Office - Word, Excel, Power Point. Experience/strong competence in the following:
Time management, support with scheduling & re-scheduling
