About the Role:
You will work with clients, vendors, and contractors to ensure that facility tasks and work orders are complete. You will report directly to the Technical Services Manager.
This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.
What You'll Do:
Work with clients and service providers to make sure they implement and recognise all procedures, policies, and reporting formats, to include Audits
Acknowledge all client inquiries and collect work orders, using the clients CRM System.
Collect information reports to find out performance and progress status.
File work orders, proposals, department files, and other paperwork submitted by vendors.
Raise Purchase Orders (PO's) in alignment with the company policies and systems, monitor and confirm all invoices via the company Finance System.
Liaise with suppliers and contractors regarding invoices
Follow instructions, short correspondence, and memos and ask clarifying questions.
Respond to common inquiries or complaints from clients, co-workers, and supervisors.
Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
Impact through clearly defined duties, methods, and tasks are described in detail.
Deliver own output by following defined procedures and processes seeking clarification and guidance when required.
What You'll Need:
Job-related experience.
Ability to follow basic work routines and standards in the application of work.
Communication skills to exchange straightforward information.
Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
Finance knowledge for raising POs and monitoring invoices and payments and supplier enquiries
Strong organizational skills with an inquisitive mindset.
Good math skills. Ability to calculate simple figures such as percentages, discounts, and markups.
