Overview :

Our client is one of the leading utility companies in the Washington, DC Metro area.  They have an immediate need for an experienced Office Manager to manage a variety of tasks crucial to the smooth operation of the Facilities office. Your main responsibilities will include processing invoices, tracking budgets, managing seating charts and relocations, overseeing office management, and supporting general team administration.

This role is in Springfield, VA, and may offer some WFH opportunities once established in the role.  Sponsorship is not available.

Responsibilities :

Validate and enter all Facilities team invoices into PeopleSoft Finance for payment, ensuring accuracy.

Work with vendors, Finance, and Accounts Payable to resolve discrepancies, handle disputes, provide information, and address inquiries.

Run queries in PeopleSoft to verify vendor payments and departmental expenditures, assist in budget tracking and annual forecasting.

Maintain the seating chart and facilitate move requests using iOffice, coordinating logistics as needed.

Oversee physical and digital filing systems, striving towards a paperless environment.

Maintain and update Facilities team Policies and Procedures, including managing the web-based portal.

Handle office supply orders, manage contracts, participate in sourcing events, and track important dates.

Work with internal customers to enhance quality, processes, and information transfer.

Maintain a project tracker to record progress updates and meeting notes.

Assist leadership with report and presentation preparation, meeting scheduling, and communications.

Receive, sort, and route Facilities team mail.

Plan and facilitate team meetings and company events, including setup, catering, and supplies.

Support Facilities audits and the document archiving program.

Qualifications :

Bachelor’s degree or 3 years of experience in Accounts Payable, office management, or administration.

Proficient with computer technology and record-tracking systems. Skilled in Microsoft Office Suite (Excel, PowerPoint, Outlook), with experience in PeopleSoft financial tables and query tools preferred.

Ability to create queries and reports, analyze data, and present findings clearly.

Proven strong customer service skills and ability to build effective relationships across functions.

Ability to analyze and address business problems and negotiate agreements or resolve disputes.

Capable of managing multiple projects simultaneously with attention to detail.

Strong verbal and written communication skills, with the ability to present ideas logically and concisely.

Demonstrated understanding of business operations and practices.
