The Onboarding Coordinator will focus on creating a positive and memorable experience to concierge new hires from initial engagement through their first year with Hackensack Meridian Health. This includes the importance of streamlining and expediting the pre-employment, onboarding and/or transferring of new and/or existing team members creating a seamless process that enhances the new hire's experience. The Onboarding Coordinator will ensure data integrity, compliance and accuracy in the utilization of the Applicant Tracking System (ATS) as well as various other HR systems in the collection and processing of any required federal, local, and corporate forms and documents. The role also includes the scheduling and coordination of all required pre-employment and orientation program(s) appointments aligned to the full life cycle for onboarding. Overall, the role is an integral and forward-facing position to represent Hackensack Meridian Health's brand.

Responsibilities:

A day in the life of a Onboarding Coordinator at Hackensack Meridian Health includes:

Responsible to process all new hires under the direction of the Hackensack Meridian Health Recruitment and Onboarding Leader as well as a partner with the Recruiter/Talent Acquisition team.

Integral part of executing a Pre-boarding to Day 1 to Year 1 experience for new team members joining HMH with programs, processes, events, data collection via surveys, etc.

Escalate appropriately to the Professional Recruitment leader for decisions surrounding employment, compliance in the hiring and transferring process, service level agreements, support for the HMH business leaders, etc.

Initiating and effectively tracking for results for the new hire background checking and physical and drug screening processes including but not limited to verification of credentials, supporting documentation required for the position in which the new hire is employed.

Accurate data input into various HR and vendor systems.

Scheduling and coordination done in a timely manner with internal Occupational Health department for physicals.

Organize, collect and process of information and forms from new team members as required during pre-employment phase.

Responsible to be proficient with the Applicant Tracking System (ATS) in order to maintain data integrity with emphasis on accurate system usage and compliance and ability to adapt quickly to new, evolving ATS processes.

Coordination with HR Service Center for pre-employment processing into the HRIS system; timely submittal of new team member file(s) within HR for processing.

Schedule team members for orientation programs; Maintain accuracy of orientation lists.

Responsible for HR appointments with new team members for completion and compliance for Federal I-9 Forms and the E-Verify process.

Retrieving team member files as needed for auditing purposes.

Fielding and responding to applicant and team member inquiries, updates and results appropriately.

May support of other related talent acquisition administrative support tasks (i.e. timely processing of department invoices and employee referrals, generating onboarding reports, etc.).

May assist Recruiter with scheduling, coordinating events, etc.

May support enhancements to brand and communication materials associated with orientation programs and recruitment events.

Other duties and/or projects as assigned.

Qualifications:

Education, Knowledge, Skills and Abilities Required:

High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.

Effective verbal and written communications (i.e. utilization of email communication templates, tasks, etc.).

Education, Knowledge, Skills and Abilities Preferred:

Associates or Bachelor's degree preferred.

Experience with Human Resources, Talent Acquisition, Recruitment and related new hire and transferring onboarding and orientation administration preferred.

Knowledge with HR and Applicant Tracking Systems preferred.

Knowledge with Federal I-9 and E-Verify preferred.
