Overview:

The Admission Administrative Coordinator is a member of the Touro University College of Education and Health Sciences Joint MSPAS/MPH Program staff. Primary responsibilities include initiating, coordinating, and monitoring the clerical, administrative and secretarial functions required for the effective implementation of the Physician Assistant Program with a specific emphasis on the admissions component of the Program. 

Responsibilities:

General Ongoing Administrative Tasks:

Work with the MPSAS/MPH Program Admissions Committee to complete tasks required to fill each cohort.

First point of contact for prospective candidates and incoming students.

Coordinate with the University’s Admissions team to identify and schedule interview days, open houses, information sessions etc.

Coordinate and schedule interviewers (faculty or alumni) and recruit current students for panel discussions for interview days or information sessions.

Organize and review applications to assess if candidates meet the minimum requirements of the program and are mission oriented using a detailed rubric to determine if the candidate should be offered an interview.

Organize and curate detailed candidate files and rubrics before interview day to include information essential for candidate evaluation.

Compile detailed records of interview day comments, ranking and final decisions.

Assist with interview day activities including helping moderate group activities, running an MMI station, or other assigned activities.

Curate and compile detailed communication packets for interviewees, accepted candidates, wait list candidates and interested students.

Communicate with interested applicants and Pre-PA groups about upcoming events such as information sessions and open houses.

Tracking MOU candidates referred to the program, ensuring interview is scheduled and documenting final outcomes.

Provide training to new faculty on CASPA and interview day events.

Review the website to ensure it complies with ARC-PA requirements and ensure updates are made regularly.

Evaluate if CASPA Webadmit portal needs updates based on each admission cycle requirements.

Managing and updating electronic files of students as required by ARC-PA.

Organize events for the Open House including ensuring sufficient staffing and marketing.

Organize and plan Bridge activities.

Coordinate with student health services to ensure students have met all onboarding requirements.

Assist in accreditation activities as needed.

Attending information sessions and Touro Talks. 

Performs general administrative tasks including but not limited to written and verbal correspondence.

Follows and implements policies and procedures as established by the Program.

Program Meetings, Minutes & Files

Maintains strict confidentiality regarding student and faculty records.

Attends Admissions committee meeting and other assigned meetings, taking minutes and making them available within 2 business days.

Organizes and participates in the development of conferences, retreats, faculty, and committee meetings as directed.  Maintains minutes of these meetings and makes them available within 2 business days.

Maintains student records, updating them after each academic semester.

Schedule & Reservations

Works with the Didactic Administrative Coordinator to plot out Bridge or Open House events and reserve rooms, etc.

General Ongoing Responsibilities:

Works with the Associate Program Director and Director of Didactic Education or their designee to organize Orientation and Bridge/Transitions Program.

Updates AAPA electronically every year of the new PA graduates and new PA students.

SPECIFIC RESPONSIBILITIES: are those work assignments which are predominant, regular and recurring.

Admissions

1.     Works with the Office of Admissions on CASPA applications

2.     Tracks application review results and notifies the Office of Admissions

3.     Works with the Office of Admissions and the Chair/CoChair of the Program Admissions Committee to organize Interview Days.

4.     Participates in the Interview Day process.

5.     Notifies the Office of Admissions of the results from Interview Days.

6.     Attends program admissions meetings and maintains minutes of all admissions related activities.

Event Coordination

7.     Works with program analyst to perform follow-up activities including surveys and reimbursement of services.

Qualifications:

QUALIFICATION(S): is the Education, Training and/or related experience needed by the person to perform the job.

Required

Computer skills, MS Office 365 (Word, Excel, Power Point, Outlook, Teams), & Google workspace

Internet Searching Abilities including Google Calendar

The ability to learn new software as needed

Recommended: 

Prior work with PAs

Bachelor’s Degree

Experience in admissions

USD $30,000.00/Yr.

Minimum Salary:
