Shriners Children’s Portland is seeking a part-time Medical Staff Department Assistant to join our team! The Medical Staff Services team supports the medical education, Continuing Medical Education (CME) and quality & credentialing programs in addition to providing administrative support to the members of the Medical Staff team.
Responsibilities:
Provides administrative support to Medical Staff including, but not limited to, maintenance of Curriculum Vitae’s, CME Tracking, and general administrative functions.
Schedule meetings attended by Medical Staff members.
Supports the Medical Education program by ensuring trainee (student/resident) are on-boarded efficiently.
Processes Medical Staff educational travel and time off requests.
Prepares expense reimbursement and check requests.
Organize and order department supplies.
Data entry and collection in support of the Medical Staff Ongoing and Focused practitioner evaluation processes.
Supports CME activities including visiting professorships, grand rounds, journal club and others as assigned.
Development of conference program and materials, registration, CME credit application, logistical arrangements (catering, facility reservations, etc.). Coordinates visiting professor travel and reimbursement.
General office support including; phones, scanning, faxing, mail distribution and daily communication board updates.
Qualifications:
High School Diploma
2 years of administrative support experience is required
Administrative experience in a hospital, healthcare setting, or physician’s office is strongly preferred
Demonstrates proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook), and Adobe Acrobat
Demonstrates strong attention to detail and organization skills
Excellent interpersonal and communication skills
Demonstrates excellent customer service skills, the ability to build rapport, and effective relationship building skills
Demonstrates strong time management skills and the ability to prioritize
Demonstrates teamwork and flexibility to assist others when needed
Strong analytical and creative abilities preferred
Medical terminology/knowledge preferred
