Overview:

Join our team as an Administrative Assistant and support NOAA Chief Financial Office - Chief Administrative Office through providing administative support to multiple divisions across the organization. Work Schedule and Location:

Hybrid: This full-time hybrid position will work Monday through Friday, 8 AM ET to 5 PM ET, with in office days on Tuesdays at SSCM3 11th Floor, 1315 East West Highway, Silver Spring, Maryland 20910.

Responsibilities:

1. Provide Technical Expertise and Advisory Services:

Establish and maintain communication channels with OAR HQ, CFO-CAO program staff, and other stakeholders.

Offer expert insight to internal and external stakeholders focusing on workforce analytics, management, and program responsibilities.

Ensure efficient consultation and support to leadership, administrative officers, and external partners.

2. Serve as a Key Strategic Partner:

Build and sustain strong relationships with OAR leadership, administrative officers, and external stakeholders.

Understand the needs of the organization and provide tailored guidance and support in collaboration with the OAR front office and CFO-CAO management team.

Assist in strategic planning efforts, ensuring alignment with OAR’s programs, projects, and organizational goals.

Provide timely guidance on programs, projects, and administrative matters, addressing issues within 24-48 hours.

3. Optimize Controlled Correspondence Information Systems:

Monitor and update the status of actions within the controlled correspondence database, ensuring it meets organizational requirements.

Offer support to managers and staff on data management, reporting, and effective system utilization.

Conduct expert analysis of data to identify trends, patterns, and areas for improvement.

4. Manage Administrative Reports and Documentation:

Ensure timely submission of administrative reports, addressing any deviations or delays promptly by collaborating with relevant stakeholders.

Track and provide statistical data analytics, delivering regular reports to stakeholders and highlighting key metrics and trends.

5. Provide Program Support:

Support the OAR front office and CFO-CAO across various functions, including executive support, workforce analytics, policy implementation, and procurement.

Assist with additional tasks as needed within the OAR office, ensuring smooth program operations.

Qualifications:

Experience: Minimum of 5 years of experience in program management, workforce analytics, or a related field, preferably within a government or scientific organization.

Technical Expertise: Strong understanding of data management, reporting, and system utilization.

Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with stakeholders at all levels.

Problem-Solving: Proven ability to address issues promptly and provide actionable solutions.

Collaboration: Demonstrated ability to work collaboratively with leadership, administrative officers, and external stakeholders.

Strategic Planning: Experience in strategic planning and alignment of programs with organizational goals.

Attention to Detail: Strong analytical skills with attention to detail and accuracy in data management and reporting.

Clearance: Ability to obtain and maintain a Public Trust clearance
