Overview:

The Regional Operations Manager increases service excellence, efficiency, and professionalism through process improvements, automation utilization, training, and monitoring throughout the region. Works with the integration team during new acquisitions and assists newly acquired agencies during the transition period after closing. Focuses on compliance monitoring of various quality control initiatives as well as the quality control processes associated with acquisitions.

What You'll Do:

Essential Duties and Responsibilites:

Work with Corporate Conversion team and Agency Management Vendors, Accounting, and IT Departments to successfully and efficiently migrate AssuredPartners regional acquisitions’ Agency Management System data into applicable integrated systems.  Work with the acquisitions’ employees before, during, and after conversion to maximize data integration and integrity.

Determine appropriate access rights within EPIC needed for new hires and transferring employees. Review access rights with Managers or Presidents of all agencies on a semi-annual basis.

Provide M&A Support for System conversions including mapping and system validation projects in collaboration with Ops leads.

Coordinate service and data transition related to the sale of an AssuredPartners Profit Center or Producer Book of Business to a third party if applicable. 

Demonstrates proficient knowledge in the area of Agency Manageement Reports and Microsoft Excel.  Acts as a resource to management, production and service staff when report needs arise.

Evaluate and Prioritize technical issues related to various Agency Management Systems as they arise, assist service staff from all agencies with solving system workflow issues. Experience with various management systems such as Epic, AMS360 & Sagitta preferred.

Maintain the integrity of Agency Management System data, documentation, and historical information.  Extract Agency Management System information to compile accurate and beneficial data by utilizing management Reports for audit and corporate reporting purposes.

In coordination with Regional and Corporate IT leadership, manage daily policy download processes and consult with insurance carriers to develop policy download processes and procedures relevant to clients and the system.

Implementation and oversight of workflows within Agency Management Systems, as well as prepare external agency management system workflows to align with current implementation of policy for consistency and/or ease of migration.

Develop new/improve upon existing AssuredPartners workflows, to ensure the highest level of customer service, efficiency, and automation utilization throughout the Region.  Educate and train all applicable employees working through Team Leaders and Managers on new or revised workflows when needed. Host training sessions as needed on an individual or group level either in person or via webinar.

Create and organize training materials, procedures, etc. as part of the company intranet (sharepoint) site and other areas of the shared network.

Monitor adherence to procedures and workflows by maintaining the integrity of the data within the Agency Management System.  Identify issues, trends, red flags, and opportunities for additional training.  This will be accomplished through the utilization of reports and internal audit monitoring.

Manage AMS configuration by adding/inactivating users, agencies, templates, proposals and updating information as necessary.

Build, edit and assist with AMS reports, Proposal/Templates and custom forms.

Host the monthly Branch Operation Leaders informational calls.

Responsible for the initial implementation, ongoing training and continuous compliance monitoring of the following AssuredPartners’ Programs and Initiatives within the Region:

Broker E & O Initiative

Carrier Financial Standards / Security Committee Compliance

National Quality Control Program (Assume Regional Quality Control Liaison responsibilities.)

Operational Best Practices

Revenue Recognition Initiative

New or Revised Programs and Initiatives as Introduced

Manage E&O Templates for Southeast with Axis. System updates/changes including but not limited to: names, addresses, new acquisition. Submit quarterly agency updates to Axis.

Monitor companies and brokers added to AMS – downgrade committee, monitor vendors added to AMS. Manually add companies, brokers & vendors as requested by Executive Management.

Implement and educate agencies within the region on new and existing technology that aids with gaining efficiencies within the branch.

Manage and monitor Surplus Lines workflow.

Work closely with the Corporate Operations Team to facilitate the successful integration of both revised and newly introduced corporate programs and initiatives within the Region.

Participate in special projects and other additional duties as needed.

Follows company policies and procedures with respect to all essential duties and responsibilities of the job.

Assist new acquisitions with W9s, Licensing, E&O template, Insurance Liability template, etc.

Regional project manager for AP rebranding/ongoing marketing changes. Set up the online marketing portals for agencies to order stationary, business cards and office supplies. Act as liaison between corporate marketing team and all regional agencies.

Manage regional license compliance in coordination with the Corporate Licensing team.

Project Manager for the Regional Disaster Recovery Plan, coordinates and assigns tasks to the regional team as needed to complete or update disaster recovery plan.
