Seeking an HR Assistant to work in our beautiful Newport Beach office!

OPPORTUNITY: HUMAN RESOURCES ASSISTANT - Newport Beach, CA (full-time/on-site)

Job Summary:

The HR Assistant is responsible for providing support to the HR Department by maintaining employment records and files, providing customer support to employees and candidates, and providing general administrative support to the HR department.

Essential Duties & Responsibilities:

Employee Onboarding

Provides support in new employee onboarding process including following up with managers and employees and completing onboarding documentation.

Ensures completion of appropriate onboarding documents by new employees including Company policy documents, benefits enrollment forms, and other onboarding documentation.

Manages Form I-9 process and ensures accurate completion, follow-up, and storage.

Employee Support

Assists with monitoring and managing HR general email and voicemail boxes and distributes as appropriate.

Answers and manages HR hotline and triages as appropriate.

Manages HR Mail – internal and external collection and distribution.

Manages employee files for new, existing and terminated employees, including creating new files, updating employee files as needed, answering subpoena requests, and other miscellaneous filing duties.

Compiles and prepares reports and documents as assigned pertaining to employment activities.

Creates employee transfer/promotion/change letters as assigned.

Manages background screening process, compliance posters, and employee referral and tuition reimbursement requests and payments.

Department Support

Processes HR-related invoices ensuring timely payment.

Submits expense reports on behalf of other HR team members.

Education and Experience:

3+ years of Human Resources experience. and Associate’s degree or equivalent from two-year college or technical school, or equivalent combination of education and experience.

Other Qualifications:

Outlook Email, Calendar and Contact systems experience.

Microsoft Excel and Word experience.

Ability to work overtime as needed.

Salary range is $55K-$65K (non-exempt). We offer a competitive compensation package that includes a 401(K) match, rental incentive and renewal compensation, bonuses, and rental discounts depending on location.  Regular full-time employees who work between 30-40 hours a week are eligible for medical, dental, vision, other voluntary benefits and vacation accrual, Sick time accrual is provided in accordance with law.
