The role

This is a varied, busy and dynamic role that would suit a competent administrator who has an interest facilities and sustainability. You will be supporting the Facilities, Environmental and Sustainability Manager in the management of the facilities across all ILG sites. The key responsibilities of the role include but are not limited to:

- Organising contractors to undertake routine maintenance and liaising with relevant contractors in emergency call outs, as well as regularly reviewing and updating preferred contractors’ documentation and obtaining quotations. Ensuring any issues are logged and monitored until resolved.
- Assisting with site visits, audits and inspections.
- Assisting in collecting data to produce reports or complete insurance questionnaires.
- Updating and maintaining compliance records for certification audits.
- Acting as secretary to ILG’s Green committee producing agenda and minutes and ensuring any issues are managed and followed up.

What we are looking for

- Proven administrative/secretarial ability
- Strong MS Office skills, particularly Excel and Word
- Methodical and able to demonstrate the ability to prioritise workload and tasks
- Forward thinking with the ability to “think on your feet”
- Able to deal with emergency situations
- Accurate, demonstrating attention to detail
- Able to travel to all ILG sites
- Previous experience of an EMS (desirable)
- Experience of working to a budget (desirable)
