The Construction Office Clerk plays a crucial role in supporting the daily administrative and clerical operations of a construction office. This position involves managing paperwork, maintaining project files, assisting in the coordination of communications between the office and the job site, and supporting project staff with clerical duties. The Construction Office Clerk ensures that office tasks run smoothly and helps maintain accurate documentation related to construction projects.

Requirements

Organize and maintain project files, job-related documents, and office records.

File, sort, and retrieve construction project documents such as contracts, blueprints, permits, and invoices.

Assist in data entry for project management software, ensuring that information is accurate and up to date.

Prepare and process documentation such as work orders, change orders, and subcontractor agreements.

Handle incoming and outgoing correspondence including emails, faxes, and phone calls, and distribute information to appropriate parties.

Support the purchasing and procurement process by tracking orders, invoices, and materials for construction projects.

Assist project managers, supervisors, and office staff with administrative tasks, including scheduling meetings and preparing reports.

Track and follow up on permits, inspections, and regulatory compliance documentation.

Assist with payroll, timesheets, and expense reports for construction staff as needed.

Maintain office supplies inventory and handle office equipment maintenance requests.

Serve as the point of contact for office-related requests from job site staff.

Help ensure all office procedures and processes are in compliance with company policies and safety regulations.

Qualifications and Skills:

High school diploma or equivalent; additional office or administrative training is a plus.

Previous experience in a clerical or administrative role, especially in the construction industry, is preferred.

Strong organizational skills with an ability to manage and prioritize multiple tasks.

Excellent attention to detail and accuracy when handling paperwork and records.

Proficiency with office equipment, including computers, copiers, fax machines, and scanners.

Competency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction-related software (e.g., Procore, Sage) is a plus.

Good communication and interpersonal skills, able to work effectively with office staff and construction teams.

Ability to handle confidential and sensitive information with discretion.

Strong time-management skills and the ability to meet deadlines.

Knowledge of construction terminology and procedures is beneficial.

Working Conditions:

Primarily office-based but may occasionally visit construction sites to assist with project documentation or meet with site staff.

Standard office hours with occasional overtime during busy project phases.

Physical Requirements:

May involve sitting, standing, or moving around for extended periods.

Light lifting of office supplies or documents.
