Office Manager/Assistant - Main contractor

We are seeking an Office Manager/Assistant to support the team on a large residential high-end development in West London. This role is crucial in ensuring the smooth operation of the site by managing office tasks, maintaining the premises, and providing essential support to the project team.

Responsibilities:

Office Management:

Order office supplies and equipment as needed, ensuring all necessary items are stocked and available.
Accept deliveries and coordinate the distribution of materials to the relevant team members.
Manage the premises, including arranging repairs, moves, or any required maintenance.Administrative Support:

Assist with document control tasks, including maintaining and organizing project documentation like drawings, permits, and contracts.
Ensure all documents are up-to-date, accessible, and accurately filed (training will be provided).Communication:

Serve as the main point of contact for office-related matters, fostering communication between site staff, contractors, and external stakeholders.
Coordinate meetings, prepare agendas, take minutes, and distribute important updates to the team.Site Support:

Oversee the cleanliness and organization of the office space, ensuring a productive working environment.
Occasionally assist with scheduling and coordinating site activities, such as deliveries or equipment orders.Multitasking and Flexibility:

Be ready to step outside the typical job scope to support the team as needed, handling tasks that may arise unexpectedly.
Engage with team members and contractors, demonstrating excellent communication skills and a positive attitude.Desired Skills:

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills.
Excellent written and verbal communication abilities.
Ability to multitask and adapt to varying tasks with a proactive approach.
Attention to detail and accuracy in all tasks.
