Salary: £13.80 per hour.

About the Company:

The primary purpose of this role is to remotely provide effective and efficient administrative and PA support to designated Financial Advice firms and their clients. This role requires high attention to detail, adherence to financial regulations, and the ability to manage multiple tasks in a home-based environment. The role requires availability during the working week (Mon-Fri, between 9:00 am and 5:00 pm) and a commitment to regular hours. A suitable home office setup in a quiet area is essential.

This role is ideal for a self-motivated, detail-oriented individual with experience in financial services administration, capable of delivering high-quality support in a remote working environment.

Day-to-Day Duties:

The support required by financial advice firms may vary but typically includes:

Compliance & Procedures:

* Follow the financial advice firm’s internal procedures, processes, and compliance manual.

* Ensure adherence to FCA regulations.

*

Business Processing:

* Submit new business applications, monitor, and track them through to completion.

* Organise letters of authority, chase information, and track change of agency requests.

*

Client & Provider Interaction:

* Act as the first point of contact for the financial advice firm’s clients and product providers.

* Liaise with clients to resolve queries in a timely manner.

* Take accurate messages and ensure they are passed on promptly.

*

Correspondence & Documentation:

* Create professional and accurate written correspondence (emails or letters) in line with the financial advice firm’s documentation standards.

* Produce mailshots and transcribe dictated audio files.

* Ensure all notes and documentation are maintained appropriately to ensure a quality audit trail.

*

Meeting Coordination:

* Arrange and coordinate client meetings, including meeting rooms and refreshments as necessary.

* Assist in meeting preparation, including preparing review packs.

*

Data Management:

* Update client valuations and maintain back-office systems and investment platforms, ensuring accuracy of data recorded.

* Arrange new business illustrations and prepare post-review letters.

*

Diary & Task Management:

* Maintain a diary system to ensure work is tracked and followed up on when appropriate.

*

Ad Hoc Administration:

* Handle any additional administration tasks as reasonably required by the financial advice firm.

Requirements:

* Proficient with Microsoft Outlook, Word, Excel, and PowerPoint.

* At least 2 years’ experience working as an IFA Administrator.

* Strong and accurate typing skills, with the ability to transcribe letters and file notes from audio files.

* Competent in using Skype and cloud-based technology, such as Dropbox, Google Drive, or OneDrive.

* Ability to handle IT and telecommunications equipment effectively.
