Knowledge
* Demonstrable experience of working in a busy administrative environment
* Experience dealing with customers or service users

* High level of keyboard skills and able to use Microsoft Office programmes
* Ability to work effectively as part of a team
* Good numeracy skills
* Effective organiser, influencer & problem solver
* Able to work on own initiative, organising and prioritising own workload to set deadlines
* Clear communicator with good writing, data entry and telephone skills
* Flexible approach to work
* Good observational skills are essential

Duties
* Act as a point of contact for the department, dealing with routine and specialist enquiries in a pleasant and helpful manner, communicating relevant information to stakeholders, referring to others as appropriate
* Inputting and maintaining data on data systems, together with the associated correspondence
* Monitoring data input and printing reports from computerised systems as required
* To arrange/schedule assessments and reviews for Nurse Assessors, including contacting individuals and family members/representatives and other relevant professionals, as required
* Collation and preparation of relevant documentation in support of service delivery
* To support administrative function in the setting up of care packages, as required
* To support administrative duties relating to Liberty Protection Safeguards
* Responsible for organising meetings for the department, minute taking, calendar management and planning any administrative work as required
* Deal with invoice queries in an efficient and timely manner, as required
* Adhere at all times to the service guidance, and work within established policies, procedures, protocols and systems ensuring quality standards and performance as directed
* Answer telephone calls, taking messages and passing on accurately to the relevant department/person
* Ensure that general office supply levels are maintained, escalating to line manager if stocks are low* To deal with all outgoing and incoming mail. Responsible for sorting all out-going mail to ensure that IG standards are adhered to
* Promote the image of the department, checking that notices and leaflets are up to date and well presented
* Resolving complaints if possible, and escalate when required. Ensure that complaints are dealt with appropriately, and in accordance with policy
* Word processing and processing documents (scanning/photocopying) when required
* Demonstrate office systems and departmental processes to new starters
* Undertake research and development as directed
* Able to work on own initiative and unsupervised, within defined policies and procedures to set timescales
* Willing to engage with and learn from peers, other professionals and colleagues to constantly improve quality of work
* Demonstrate a strong desire to improve performance and make a difference by focusing on goals
* Adaptability, flexibility and ability to cope with uncertainty and change
* To ensure compliance with all statutory and mandatory training
* Carry out any other duties as may reasonably be required by their line manager

Skills required for post
Communication Skills
* Excellent communication skills, using a variety of communication methods including via face to face, telephone, e-mail and communication platforms ie MS teams
* Excellent written skills, including effective letter writing
Analytical Skills
* Updating relevant trackers in line with agreed process
* Comparing package costs from a range of providers
IT Skills
* Excellent IT skills, including Microsoft Excel and Word
* All staff are expected to utilise the relevant national and local IM&T systems necessary to undertake their role
Planning & Organisational Skills
* Ability to plan and prioritise own workload and to meet conflicting deadlines
* Organising work flows to meet demand
* Plan and organise meetings and case conferences
Physical Skills
* The post holder will be required to use a VDU for prolonged periods
* Occasional lifting of files to and from shelves may be required
* Sitting in a confined position ie at a keyboard for periods
