General Summary: The Account Coordinator for Conference Services is responsible for all relevant financial operations, processing, and accounting for Conference Services, both on SPU's campus and at Camp Casey Conference Center on Whidbey Island. The Account Coordinator is also responsible for the management of the SPU Guest Apartments.

Job Description:

  • Daily ensures that deposits and account payments are received from clients within contract payment terms and applied to the appropriate invoices and accounts. Makes collection phone calls and letters as necessary. Consults Assistant Director on delinquent payments. Transmits all payments received to the Finance Department and post payments in the conference services software.

  • Weekly verifies data for lodging, meals, catering and miscellaneous charges (including lost/damaged cards) in the conference services software in order to prepare and send invoices and customized surveys to clients. Processes food services vendor invoices and prepare related journal entries.

  • Reconciles monthly internal financial tracking of accounts receivable and deposit liability accounts with reports from Finance. Reconciles lodging, food service, Quikpay, and other internal financial tracking as needed with working papers, and reviews margin analysis notes from OUS Finance and Budget Manager.

  • Prepares and submits all required semi-monthly uploads.

  • Processes supplier invoices for payment and prepare reimbursement paperwork for approval by Assistant Director. Provides financial reports to Finance, OUS Finance/Budget Manager, or Assistant Director of Conference Services.

  • Verifies through-the-line meals and provide weekly reports to Dining Services. Generates reports to reconcile meal participation with client contracts (summer season).

  • Manages all aspects of billing and collections for the University Guest Apartment and Summer School Housing.

  • Assists the Assistant Director of Conference Services in the advertisement, scheduling, interviewing, and hiring process for student employees for the Summer Quarter season. Serves as student supervisor proxy for Assistant Director of Conference Services. Reviews and approves student worker billing tasks.

  • Provides coverage for the Conference Services Front Desk and the Conference Services main telephone line as needed.

  • Participates in regular meetings with the Assistant Director of Conference Services as well as any meetings with Office of University Services and the Office of Business & Finance. Meet semi-monthly with Manager of Conference Services, Camp Casey.

  • Assists Conference Services staff and clients as needed and as requested by the Assistant Director of Conference Services.


  • High school diploma or equivalent.

  • At least 1 year experience in a related type role.

  • Associate's degree or at least two years of experience in a billing, budget management or bookkeeping role is preferred.

  • Familiarity with financial software and a proficiency with Microsoft Office products, including Outlook, Word and Excel.

  • Experience with EMS Campus, StarRez a plus.

Additional Information:

Position will remain open until filled.

Salary: $40,000-$45,000 annually, DOE
