Our client a large Charity organisation is looking for an experienced Customer Service Co-ordinator to work within their busy payroll team.

Main Purpose:

To provide a comprehensive, timely and effective administrative service to the payroll function.

Responsibilities of Job:

* Providing excellent customer service to stakeholders by responding to enquiries via telephone and written correspondence effectively and within required metrics

* Proactively investigating and seeking to resolve queries where possible, escalating to the Account Manager where necessary

* Managing email mailboxes, sorting and distributing to other members of staff where necessary

* Sorting daily post, actioning, distributing and recording as appropriate

* Tracking customer communication via spreadsheets and other systems to ensure a joined up and professional customer service approach

* Tracking all new referrals received, saving accordingly, and ensuring all other relevant documentation is received in a timely manner including support plans and new employer forms

* Providing administrative support in collecting customer satisfaction feedback, sending information and collating returns accordingly

* Supporting the organisation of, and the posting, of any necessary documentation including payslips, statements and communications letters to customers via mail merges

* Taking notes/action points at relevant team meetings

* Taking card payments from customers over the telephone, ensuring accurate record keeping ensuring accurate allocation to accounts

* Proactive administration of customer accounts including updating addresses, following up on missing information, and ensuring records are kept up to date

* Other tasks, as and when directed, to ensure the efficient and smooth running of payment services including supporting the Payroll Processor during peak times with the scanning and filing of timesheets

* Provide administrative cover to central services functions as required and directed by the CEO Office and Central Services Manager including reception cover

* This line is not exhaustive and from time to time you may be required to undertake additional duties

Person Specification:

Essential

* Excellent customer service skills

* Excellent communication skills with the ability to communicate with a wide range of audiences

* Excellent administrative skills and attention to detail

* Excellent IT skills with sound working knowledge of Microsoft Word, Excel, Outlook, Access and PowerPoint

* Ability to work unsupervised and on own initiative

Desirable

* Experience of dealing with telephone enquiries

* Experience of working in a busy office environment
