Our client is one of the UK's leading wealth management firms are now as a result of exciting expansion plans is looking to appoint an Experienced Administrator for their prestigious Canary Wharf offices.

GENERAL PA DUTIES

* Working as a key member of the Business Support Team (back office) to process cases efficiently through to submission

* Supporting the Executive Business Operations Manager with cases and overall team reporting – prioritising urgent cases, identify and resolve issues

* Liaising with Wealth Advisers to process cases, clarify queries, and escalate issues

* Writing up and maintaining accurate notes on CRM platform

* Working in CRM platform and keeping tasks up to date and within agreed SLAs (service level agreements)

* Ensuring that business submissions achieve full Financial Services Authority regulatory and the Practice systems compliance

* Liaising with from wider business team and key stakeholders

* Calling and chasing third-party providers for information to progress client cases

* Communicating via emails and calls professionally

* Providing comprehensive office administration support as directed by the Executive Business Operations Manager – including ongoing tasks as well as project-oriented activities

* Supporting Executive Business Operations Manager with office management responsibilities – including stationery suppliers, ordering and maintaining Marketing material inventory

* Providing input into weekly Management Team reports

GENERAL ADMINISTRATIVE DUTIES

* Checking and responding to emails

* Email filing and flagging

* Updating CRM platform with notes and client information

* Ensuring that all business submission documentation is appropriately filed and/ or archived

* Ensuring that client files are accurately maintained and updated in line with data protection requirements

* Co-ordinating office/building access for colleagues and guests

* Ordering/replenishing of stationery

KEY PERFORMANCE MEASURES

Timely completion of file notes on CRM platform

Timely completion of business submissions as documented in the Practice procedures

Timely completion of checklists and tasks in line with agreed turnaround times

Maintain compliance requirements, regulatory standards)

Satisfactory contribution to the Practice’s business strategy and objectives

PERSON SPECIFICATION

Qualifications

Good GCSE results (or equivalent)

Good ‘A’ level results

IT-related qualifications

Experience

* At least two years’ experience in a PA support roles or office management roles

* At least two years’ experience in a business administration role (or equivalent)

* Used to delivering in fast-pace environments; positive, problem-solving mentality

Skill/ knowledge requirements

Outstanding organisation/ administration skills

Excellent communication skills – written and oral

Excellent IT (all MS Office programmes) and data entry skills

Ability to work effectively; independently and in teams

Ability to meet deadlines while handling multiple concurrent projects

Strong project management skills

Strong client relationship management skills

Personal characteristics

Strong drive to achieve results

Outgoing and positive personality

Attention to detail and accuracy

Excellent interpersonal skills.

In return, there is a competitive negotiable salary c £25,000 DOE 25 days holiday + Bank holidays + pension etc. This is an urgent requirement
