Our client is one of the UK's leading wealth management firms are now as a result of exciting expansion plans is looking to appoint a Paraplanner for their newest location in prestigious offices at Readings Greenpark near Junction 11 of the M4.

OVERALL PURPOSE OF JOB/ PRINCIPAL DUTIES

Appointment making, re-arrangement & confirmation

Transcribing meeting notes and uploading on CRM platform

Producing Illustrations

Updating CFR (documentation) from Partner’s meeting notes / dictation

Adding client instruction emails onto CRM platform

Processing business submissions (and all associated materials) on behalf of the Partner to completion – including post-sale documentation, in line with the Practice policies, systems and procedures

Ensuring that business submissions achieve full Financial Services Authority regulatory and the Practice systems compliance

Allocating tasks post meeting and ensuring relevant team actions within deadline

Preparation - prompting Business Support Team and Partner for scheduled meetings and ensuring relevant documentation is in place

Checking suitability letters and highlighting key issues to Partner for checking/querying

Communicating any emails or query from wider business team and key stakeholders

Supporting Partner with activities that support existing client relationships (e.g. email correspondence, invitations, etc.)

Providing input into weekly Management Team reports

GENERAL ADMINISTRATIVE DUTIES

* Checking and responding to emails

* Email filing and flagging

* Updating CRM platform with notes and client information

* Ensuring that all business submission documentation is appropriately filed and/ or archived

* Ensuring that client files are accurately maintained and updated in line with data protection requirements

* Supporting the Practice leadership with administrative input as required

* Providing comprehensive office administration support as directed by the Executive Business Operations Manager – including ongoing tasks as well as project-oriented activities

* Co-ordinating office / building access for colleagues and guests

* Ordering/replenishing of stationery

KEY PERFORMANCE MEASURES

* Timely completion of client reports and client master files as documented in the Practice procedures

* Timely completion of business submissions as documented in the Practice procedures

* Maintain minimum levels of compliance reviews for the Practice business submissions

* Satisfactory contribution to the Practice’s business strategy and objectives (as communicated).

PERSON SPECIFICATION

* Good GCSE results (or equivalent)

* Good ‘A’ level results

* IT-related qualifications

Experience

* At least two years’ experience in a PA support roles or office management roles

* At least two years’ experience in a business administration role (or equivalent)

* Used to delivering in fast-pace environments; positive, problem-solving mentality

Skill/ knowledge requirements

Outstanding organisation/ administration skills

Excellent communication skills – written and oral

Excellent IT (all MS Office programmes) and data entry skills

Ability to work effectively; independently and in teams

Ability to meet deadlines while handling multiple concurrent projects

Strong project management skills

Strong client relationship management skills

Personal characteristics

Strong drive to achieve results

Outgoing and positive personality

Scrupulous attention to detail and accuracy

Excellent interpersonal skills.

In return, there is a competitive negotiable salary c £25,000 DOE + c 25 days holiday + Bank holidays + pension, free parking etc. This is an urgent requirement
