As an Administrative Assistant with Answer Financial yourprimary role is to leverage the productivity of the Legal department by maintaining and administering a digital and physical central repository for all legal documents. In addition to working with our legal teamyouwillensure the President is able to perform at peak productivity through complex calendar management, coordinating logistical details, and expense report preparation. This position also supports daily reception coverage of either lunch and/or breaks. Responsibilities: Maintain an organized system by contract type (i.e. vendor, sales, NDA, compliance) of all physical and digital contracts, solve for retroactive missing and/or misfiled paperwork, conduct preliminary review and flag digital content for terms and provisions and create an audit trail for status of contracts. Support the Sr. Corporate Counsel and Compliance Officer by maintaining Board of Director minutes, coordinating with parent company for monthly, quarterly and as needed compliance reporting. Conserves attorneys time by researching, reviewing and verifying all incoming legal invoices before requesting approval. Completes a broad variety of administrative tasks for the President including: managing an extremely active calendar of appointments; completing expense reports; coordinating detailed travel plans, itineraries, and agendas; compiling documents for meetings and projects. Proactively provide necessary and requested information flow to business partners. Provide daily reception coverage for lunch or breaks (on a rotating schedule). Welcome visitors, issue visitor badges, answer telephone and route calls, and handle incoming and outgoing mail. Accepts ownership for exploring opportunities to add value to job accomplishments. Other duties and projects as assigned. Experience/Education: 5+ years experience working in a similar role Ability to prioritize and remain calm and focused under pressure Maintain strict confidentiality and discretion Strong organizational skills with exceptional attention to fine detail Strong work ethic and ability to thrive in a time sensitive environment Strong communication skills, both written and verbal Professional demeanor with excellent judgement skills Demonstrated intermediate proficiency of MS Office products (Outlook, Word, Excel, and PowerPoint), internet, and other related computer applications Proficiency with business travel scheduling and financial expense reporting processes A basic understanding of corporate law and governance Bachelors degree preferred We offer you a competitive salary, comprehensive benefit package with day one health benefits, company matched 401(k), generous paid time off, community volunteer events, and much more!
