POSITION OVERVIEW :

In accordance with established procedures, performs a variety of routine and non-routine administrative, clerical, data collection, and report writing tasks specific to the group assigned. Receives direction from immediate supervisor in completing non-routine assignments.

SPECIFIC RESPONSIBILITIES :
  • Fills out and submits expense reports for program team members
  • Captures meeting notes and produces summary reports including action items. Types up and distributes reports as directed by immediate supervisor.
  • Tracks and gathers information on events, opportunities and news to produce regular status updates for team distribution.
  • Coordinates customer visits and meetings to ensure personnel and meeting space is arranged. Handles catering and coordination for team lunches and events.
  • Act as single point of contact to sponsor new hires and interns-coordinate with other corporate elements to procure assets, coordinate schedules, and secure space
  • Reviews time reports to verify accuracy of hours worked and Job#/WBS charges. Follows up to ensure timely processing of corrections.
  • Maintains employee directory and related data pertaining to employees assigned to the unit, including company resumes.
  • Originates correspondence and reports not requiring the personal attention of immediate supervisor.
  • May establish and maintain records of equipment, including a log of equipment service dates. May initiate requests for service.
  • May obtain basic data for completion of the unit's overhead budget and prepare associated recurring reports. May produce preliminary reconciliation as appropriate.
  • Assist in scheduling conference rooms and managing calendars
  • Coordinate, host, orchestrate events such as luncheons, social events
  • Manage a petty cash fund
  • Order, manage, and track items such as office supplies and corporate swag
  • May work closely with immediate supervisor in tracking timeliness of performance appraisals and preparing documents related to personnel actions.
  • Performs other responsibilities associated with this position as may be appropriate.


QUALIFICATIONS:
  • High School Diploma
  • 10+ years of relevant experience
  • Good written and oral communication, organizational, and interpersonal skills are required.
  • Good business English and general office practice skills are required.
  • Demonstrated proficiency in keyboard skills, as well as a working knowledge of MS Windows and related word processing, spreadsheet, and database software, is required.

SKILLS/COMPETENCIES:
  • Good written and oral communication, organizational, and interpersonal skills are required.
  • Demonstrated proficiency in keyboard skills and the utilization of Windows and related word processing, spreadsheet, and database software, is required.
  • Working knowledge of company policies and procedures is preferred.


REQUIRED:
Ability to obtain and maintain security clearance.
