Currently recruiting for a 1st class front of house receptionist for a private equity firm in Green Park. This is a wonderful opportunity for a career receptionist to support a friendly team of executives.

Reception:

Operate switchboard system in reception

Answer the telephone, transferring them to relevant member of staff and/or relay or take message

Advise ground floor reception of visitors in advance

Meet and greet visitors

Meeting rooms:

accept meeting room invites

manage conflicts that may arise by communicating conflict and suggesting an alternative solution.

Connect all audio and video conference meetings

Manage catering needs for internal and business meetings, breakfast, lunches and dinners:

liaise with PA regarding menu approval (considering dietary requirements and allergies), seating plan, name cards, special requests (where required)

order catering requirements;

liaise with catering supplier;

Sign off on invoices, ensure proper coding and documentation, timely submittal to PA/Finance

Book courier and bike requests

Distribute all incoming post and daily newspapers

Advise employees of courier deliveries

Collect daily newspapers from ground floor reception and display on 4th floor

Collate and email ‘professionals’ whereabouts weekly’

Update internal UK telephone list/directory and email to “Staff Administration UK” in a timely manner e.g. new hires

Escort vendors on floors as required

Build effective relationships with Building management and Security teams

Perform ad hoc projects as requested by Operations Director

Office Administration:

Frank outgoing post/mail and top up franking machine

Organise collection/delivery of archive requests

Order cake for employees’ birthday

Organise cards for employee special events as requested by Operations Director

Organise order and collection of gifts for special events as requested by Operations Director

Manage facilities related issues as directed by Operations Director, for example:

fault reporting – liaise with maintenance company and organise works

source suppliers where necessary and obtain quotes

maintain first aid box(s) and stock supplies (liaise with First Aid Officer)

keep record of maintenance contracts

organise collection and disposal of confidential bins

organise office xmas tree delivery/collection

Order standard and non-standard stationery items. Maintain adequate stock levels at all times.

Liaise with vendors

Sign off on invoices, ensure proper coding and documentation
