Time and Attendance Program Coordinator (Administrative Services) Arizona State University Facilities Development and Management Campus: Tempe 52061BR Job Description: Facilities Development and Management, Administrative Services, seeks a Program Coordinator to provide division-wide services in the areas of Payroll/Time and Attendance and Student Employment. Salary Range: To be determined Close Date: 29-May-2019 Essential Duties: Perform Department Time Administrator (DTA) duties: prepare, distribute, gather, review and reconcile timesheets each biweekly pay period ensuring accuracy and compliance with university policies and employment laws (e.g., FLSA, FMLA). Perform data entry, and review/analyze timesheets and payroll transactions for accuracy. Maintain department employee timesheet and personnel files; create and maintain department forms; prepare and distribute various payroll reports and communications. Coordinate student employment by consulting with department hiring officials to develop job postings, schedule interviews, conduct reference checks and finalize the hiring process. Answer routine questions to management and staff on university policies and procedures. Liaison with other university departments (e.g. Financial Services, Human Resources). Utilize computer to access and maintain information in PeopleSoft, Kenexa BrassRing, Excel, Word, and Access. Maintain confidential information and records and adhere to record retention policies. Communicate effectively with supervisors to obtain needed information; respond verbally or in writing to inquiries. Provide back-up support to other unit staff; assist with special projects. Establish and maintain effective working relationships and work in a team environment. Ability to communicate verbally, read, write, see and hear to perform essential functions of the job. DAYS AND SCHEDULE: Monday-Friday 8:00 a.m. - 5:00 p.m. Minimum Qualifications: Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Desired Qualifications: Experience: Payroll processing (e.g. data entry, pay adjustments, termination payouts, overtime calculations, analyzing payroll data). Reconciling time and attendance records. Coordinating employment/recruitment activities (e.g. developing job postings, developing interview questions, evaluating applicants, background verification, and reference checks). Using on-line recruitment software (e.g. Kenexa BrassRing) and HRIS (e.g. PeopleSoft). Using Microsoft Office (e.g., Word, Excel, Access, Outlook, PowerPoint). Filing and record management. Working within tight deadlines with attention to detail. Working independently and in a team environment, establish priorities and meet tight deadlines.. Demonstrated knowledge of: Payroll policies, practices and procedures. State and Federal regulations (e.g., FLSA, FMLA). Evidence of effective verbal and written communication skills. Working Environment: Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse. Required to stand/sit for varying lengths of time and travel moderate distances to perform work. Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
