The Director of First Impressions is a key administrative position responsible for greeting all Corbins Electric clients, guests, vendors/suppliers, applicants, and employees; as well supporting various departments with administrative tasks. The Director of First Impressions must be friendly and approachable, detail oriented, and have the ability to multi-task. While many of the functions are administrative focused, this is a "hands-on" job that will require personal involvement and direct data entry and tracking in various company systems. The Director of First Impressions reports to the Talent Acquisition Manager, but also supports multiple functions for the company.

Responsibilities

RECEPTION

  • Open and close front office area daily from 7:00AM-3:30PM
  • Primary phone attendant for receiving, routing of calls as needed
  • Prepare the conference rooms for meetings including ordering refreshments
  • Operate postage meter & related functions including adding postage & sending out daily mail
  • Restock company information in lobby area
  • Water & feed plants
  • Check shredder to see if it needs to be emptied
  • Stock paper in copiers in both Media rooms daily

PROCESSING

  • Receive & distribute packages, letters, and faxes in a timely manner
  • Update phone extension listings regularly
  • Prepare payroll and stuffers for mailing weekly
  • Open, date stamp, and sort incoming mail daily
  • Drop off mail each Friday afternoon at the post office, if needed
  • Schedule courier deliveries
  • Scan business cards into Outlook as needed

COMMUNICATION

  • Responsible for office event catering needs and lunch meetings
  • Create greeting cards for all occasions on a monthly basis
  • Assist with company events when necessary

FUNCTIONAL REQUIREMENTS

  • High School diploma, G.E.D. or equivalent training
  • Ability to type 45 words per minute
  • Familiarity with the Internet
  • Proficiency in Microsoft software applications (Word, Excel, and Outlook)
  • Bilingual preferred but not required (English and Spanish)

SKILLS

  • Professional verbal and written communication and presentation skills
  • Good organizational skills, detail oriented and ability to multi-task
  • Team player
  • Ability to work in fast paced environment, flexible and adaptable to changes to planned tasks or schedule

ADDITIONAL REQUIREMENTS

  • Ability to work 40 hours per week and overtime if required
  • Ability to lift and / or carry up to 20 lbs. unassisted
  • May require repetitive use of arms, hands and fingers
  • May require prolonged periods of sitting throughout workday
  • Valid drivers license and proof of insurability when job duties require use of motor vehicle
  • Requires exercising of discretion in decision making process and maintaining of strict confidentiality with respect to applicant, employee and company proprietary related information
  • Must present professional image of Corbins Electric at all times by promoting and exemplifying Company's established core values
