The Project Manager is a results driven professional with experience managing projects, teams, interns or volunteers who will lead multiple initiatives for the Programs & Services Department to ensure the agency goals are met or exceeded. This position is critical to the success, continuation and sustainability of multiple funding streams as well as the Chapter's Strategic Plan deliverables. The Project Manager plans project resources, leads a project team, manages budgets, leads quality and satisfaction efforts, closely tracks and monitors progress and is responsible for reporting qualitative and quantitative data. Position could be based in Rochester, Geneseo, Canandaigua, or the Southern Tier. General Admin/ Data Analytics (30%) ● Use work plans and grant and strategic implementation goals to drive the scheduling and delivery of programs & services across outlined territory. ● Create systems, procedures and tools to manage project timelines and deliverables. ● Monitors activities to identify trends and best practices; measures impact of specific actions; identifies and addresses issues as they arise and adjusts plans as required. ● Collect and enter data to measure progress toward grant and strategic plan goals. ● Submit regular reports demonstrating qualitative and quantitative progress. ● Responsible for the event creation and data entry for all programs. ● Manage contracts and MOU's. ● Responsible for keeping up-to-date with Association news, disease information and other information that will assist in completing job tasks. ● Utilize multiple constituent management databases. ● Anticipate, identify, organize, and analyze growth opportunities/gaps to make programmatic recommendations to leadership. ● Anticipate program needs and prepare contingency plans. ● Develop tools and resources where necessary including curriculum, standard operating procedures, etc. ● Budget management. ● Follow risk management procedures with 100% accuracy. Program & Service Delivery (30%) ● Provide high touch customer service and support by responding to inquiries, engaging participants via phone, email or in-person. ● Use innovative methods including the development and distribution of promotional materials to increase participation in programs and services with special attention to under-engaged populations. ● Work with Communications Manager to implement a communications plan to promote programs and services. ● Oversee the evaluation, satisfaction, quality assurance and program improvement for all support programs and services. ● Provides leadership where needed for special events, conferences, etc. ● Confidently communicates updates in research with stakeholders. ● Event coordination, management, execution. ● Deliver services as outlined by the Alzheimer's Association. ● Provide coverage to other programs and services as needed. Volunteer Management (20%) ● Manage the recruitment, vetting, on-boarding, training, and management of paid contractors and volunteers within a volunteer management database. ● Engages with volunteers to expand community visibility and service delivery especially among minority populations. ● Develop, implement and participate in quality assurance processes for all volunteer led efforts. ● Oversee compliance checks for all regulations related to program volunteers within the volunteer management database. ● Create a volunteer recruitment strategy for the communities targeted in the Community Development Plan. Community Relations (20%) ● Develops and maintains stakeholder relationships that drive constituents to services, lead to host locations and collaborative partnerships with a special emphasis on diverse communities. ● Complete an annual community assessment process, including the hosting of community forums. ● Cultivate relationships with potential new partners and strengthen existing relationships. ● Ensure appropriate legal and risk management steps are followed with precision when securing points of service. ● Research and propose vendor opportunities best aligned with our target populations, mission and vision. MINIMUM REQUIREMENTS & WORKING CONDITIONS: ● Degree in education, social sciences, public health, public administration or related field. Master's Degree preferred. ● Two to four years experience in project management or program management. ● Demonstrated success building strong partnerships and increasing services to communities that have had low participation. ● Demonstrated success building community partnerships and engaging diverse populations. ● Demonstrated success working with diverse populations, volunteers, staff, and external contacts to build and maintain successful teams. ● Excellent ability to communicate in person, print, and electronically to variable audiences. ● Synthesize information to identify priorities from individual conversations to develop concise action plans. ● High level of integrity, diplomacy and initiative. ● Ability to follow directions, work plans, and procedures. ● Ability to make adequate progress in a fast-paced environment with competing priorities, and aggressive deadlines. ● Results focused individual, able to positively influence office culture. ● Demonstrated ability to manage up and across. ● Demonstrated success working professionally and effectively with high levels of autonomy. ● Competence utilizing technology: video-conferencing applications, Google Drive, spreadsheet manipulation, client management systems, internet navigation. ● Professionalism is upheld in all internal and external interactions. ● Exceptional time management and organization skills. ● Maintain boundaries while delivering services. ● Ability to travel as needed to perform job duties (reliable transportation and valid New York State driver's license are required). ● Ability to spend extensive periods of time sitting at a computer. ● Flexibility to work evenings and weekends to meet community needs. ● Ability to carry up to 25 lbs of equipment and supplies. ● This job profile in no way states or implies that these are the only duties to be performed by the jobholder.
