Sr. Manager, Meetings & Events

Responsible for the planning, organization, and execution for NADA Board of Directors meetings, Committee meetings and ad hoc meetings/events.
Coordinate with Sr. Director to plan, organize and effectively manage all meetings including budget, site-selection/visit, contract negotiation, transportation and all event logistics.
Oversee coordination of invitations, promotional, registration and housing materials.
Assist in the negotiations with hotel and other vendors for accommodations, VIP suites and function space for Board Meetings, Committee Meetings, NADA Academy Graduations and other NADA functions, as needed.
Coordinate with registration and housing manager on room block and hotel function space assignments for all VIP functions in conjunction with the annual NADA Show.
Plan, organize, and manage all Board, Committee Meetings and VIP special events held at the NADA headquarters hotel in conjunction with the NADA Show.
Assist Sr. Director in securing vendor contracts including solicitation of RFP's, analyzing and negotiating bids, preparing agreements and monitoring services.
Develop, monitor, revise and reconcile budgets for each event.
Develop and maintain working relationships with NADA Chairman, Vice Chairman, President/CEO, VIP's & Executive staff and vendors.
Provide well organized on-site management and operational leadership to ensure
Manage and perform on-site operational leadership to ensure successful execution of all events, as well as excellent service to our members.
Attend all Board of Directors meetings and other meetings as needed.
Demonstrate expertise in market knowledge, competition and trends. Develop and nurture industry contacts.
Develop, document and maintain a project management plan for all Board and Committee meetings.
Prepare all meeting specifications for all Board and Committee meetings using NADA's event application software.
Work closely with registration manager and vendor to create a seamless registration and housing web flow and process for all meetings.
Oversee development of website and mobile app for Board of Directors.
Manage & distribute yearly calendar for the Board of Directors. Update all contact information & VIP directory.
Prepare hotel information and registration forms for VIP mailings
Design and oversee design of all VIP calendars of events.
Collaborate with registration manager on hotel information and registration forms for VIP mailings and social invitations.
