Duncan Lewis was established in 1998 and employs in excess of 700 staff and consultants across London and the UK.

We are seeking a Administrative Assistant with good administrative skills to be the first point of contact for our clients and help provide administrative support to our fee earners.

The successful candidates must have excellent organisation, communication and interpersonal skills, and the ability to work well in a fast paced and busy office environment. You will be hands on, committed and able to work as part of a team whilst using your own initiative to get tasks done.

The main activities of this role will include:

  • General administrative duties to assist in the running of the department and taking instructions accordingly: photocopying and filing, faxing, typing, amending and printing documentation as instructed and using the digital dictation system when required.

  • Acting as a liaison between supervisor and clients: taking calls and messages and possibly making calls on supervisor's behalf

  • File management. Diary management for fee earners and Court

  • Covering reception duties: opening, posting and franking mail and DX and ensuring that reception is manned effectively when required to do so.

  • Attending training sessions and undertaking training in line with the firms training policy

  • Any other reasonable tasks required by Management.

  • Ensure the positive representation of the firm in all dealings with clients and others

  • Dealing with correspondence

Key Skills required:

  • Excellent organisational skills, with the ability to prioritise tasks and manage time effectively.

  • Good admin skills and ability to use IT to support these.

  • Understanding of and commitment to Equal Opportunities.

  • Negotiation skills.

  • Communication skills (both verbal & written)

  • Polite telephone manner.

  • Liaising with clients & 3rd parties

  • Time Management, working to set deadlines set.
