This is an exciting time to join a new organisation that is being created by bringing together three well known and successful public services into one from January 2019. Responsible for the delivery and coordination of free, impartial and independent pension guidance, money guidance and debt advice, the new body will play a lead role in consumer protection and the development of a national financial capability strategy for the public.
Your new role
You will be joining at C-Suite level for this newly transitioned organisation, providing senior Executive support direct to the CEO & Chief of Staff. You will be tasked with the management of the Board's PA and senior secretarial support team. You are responsible for organising and scheduling meetings at the highest level, prepare meeting agendas, perform research and briefings for meetings and take detailed minutes with follow up action points. You will manage the booking of business travel arrangements, including transportation, and accommodation for the Senior Management Team (SMT) and other staff members. You will be responsible for the successful delivery of on-boarding/induction of new senior staff members and training were necessary as directed. You will take responsibility and ownership of office organisation, secretarial management, project support, administrative deadline compliance, and important confidential documents and files, as required. Liaison with key stakeholders regarding meetings and scheduling on behalf of the CEO/Directors will also be part of this job. You will organise and support media appearances and events with the Communication team. You will need to be flexible, for other ad-hoc duties, such as covering reception and answering phones where necessary.
What you'll need to succeed
You must have a positive communications style and be a strong team player with experience as an Executive Assistant to C-Suite Level. You will have extensive diary management skills as you will be managing the diaries and schedules of the SMT as directed. You must have a proven track record of excellent scheduling, planning and time management. You will have excellent internal and external stakeholder engagement. You must be self-motivated, pro-active and use initiative to deliver a first-class secretariat support to CEO and Chief of Staff. You will be confident in senior level, committee level minute taking. Ideally you will have some knowledge of the financial and Public-Sector landscape.
