PA to Investment Team & Director

Joining the Manchester office of 12 people, this is a crucial role within the company as you will be providing support to the Investment Team of 12 including the Investment Director of this growing Investment Bank as a result this is a busy role which will require exceptional time management and organisational skills.
Ideally you will come from an Financial Services or Legal Sector background, where they have supported a team previously. However, if you have worked in a different sector but have strong and relevant administrative skills they may also be considered.
This is a busy and key role in our Manchester office, providing professional business support across a wide range of duties and tasks.
Key Responsibilities

  • Providing PA/EA support to Investment Director and a team of twelve in the Manchester office
  • Meeting organisation, calendar and invite management, location and facility bookings
  • Travel booking and management
  • Preparing draft correspondence, keeping and maintaining accurate records and paperwork
  • Raising purchase orders, dealing with invoice queries
  • Answering calls into the office, transferring or taking messages
  • Greeting clients, providing a warm and professional welcome
  • Providing lunches and refreshments for meetings
  • Processing expenses for the team and sending to central finance
  • Ordering all office stationery and consumables
  • Creating and maintaining Excel spreadsheets (intermediate level)
  • Creating PowerPoint presentations for meetings
  • Attending internal meetings and taking minutes, type and distribute
  • Setting up and maintaining filing systems
  • Creating project plans around Social Media campaigns
  • Managing Social Media accounts and publishing schedule (Twitter & LinkedIn)
  • Writing case studies, PR releases, blog articles
  • Event Management


To apply you:

  • Must be able to demonstrate previous PA, Team Assistant or EA experience) preferably from a financial services or legal background or come from an organised Administrative or Secretarial background where you have supported a team of people
  • Excellent organisational and time management skills
  • Confident with managing multiple diaries
  • Candidate will need to be happy and confident with taking on office management and some marketing/events duties as well
  • Confident with taking minutes (key action points and follow up)
  • Happy to take a hands on approach
  • Ability to work independently, self-motivated and highly professional approach
  • Good IT literacy across a range of MS packages and in house systems
  • Ability to multi-task and prioritise tasks on a daily basis
  • Strong background in PA/EA role ideally in Financial Services
  • Ability to take minutes and manage a busy and deadline driven workload
  • Must be a team player and work collaboratively with the team
