Finance and Operations Classification: Regular, Full Time FLSA Status: Exempt Reports to: President Supervises: General Accounting, Credit & Collection and IT Primary Functions: Responsible for all financial activities of this multi-entity company. The VP Finance will have direct responsibility for accounting, financial reporting and analysis, payroll, cash control, disbursements, credit & collections, invoicing/billing, multi-state taxes, insurance, 401k administration, banking relations, CPA and legal firm relations, and systems/ IT operations. This includes the production and communication of periodic financial reports, maintenance of accounting records, prompt collection of receivables, effective operation/maintenance/development of systems resources and enforcement of a comprehensive set of policies, procedures and controls designed to mitigate risk, enhance the accuracy of the company's reported financial results, and ensure that reported results comply with generally accepted accounting principles (GAAP) or international financial reporting standards. As a key member of the Executive Management team, the V.P. Finance will report to the President, contributing accounting, financial, operational, analytical, systems, and other expertise to assist the planning and decision making processes in all company financial matters. The present scope of the company includes two corporations; operating facilities include 2 company owned offices/counter sales/warehouses, 3 leased offices/counter sales/warehouses; and the scope of business includes New Jersey and surrounding areas, including eastern Pennsylvania and southern New York state. Broad Objective: Build company financial strength and maximize company net present value, maintaining proper balance between profitability and liquidity objectives; Accomplish through very effective management of gross margin, expenses, inventories, receivables, cash, and payables, as well as by taking high priority care of employees, customers, and suppliers. Assist in the most profitable allocation of resources within the business. Essential Responsibilities: * Oversee the activities of the General Accounting Department for the accurateand timely production of general ledger and financial management reports including, but not limited to, internal and external monthly financial statements and successful satisfaction of the annual audit. Ensure appropriate accounting and operating policies, procedures and controls are in place and followed, in accordance with generally accepted accounting practices. Review general ledger and financial reports on an ongoing basis, contributing needed journal entries and comparing results to prior year, budget if applicable and to selected benchmark ratios. Run various monthly reports of official company sales I gross margin numbers and reconciliation to general ledger. Record, prepare and transmit NJ Sales Tax payment monthly. Maintain monthly reconciliation spreadsheets on most balance sheet accounts. Coordinate annual 1099 issuance process. * Ensure the accurate and timely processing of product and expense accounts payables, taking all available cash discounts, bi-weekly company payroll (ADP), and petty cash transactions. Review all sundries invoices for accuracy of keyed ledger account numbers and to self-assess NJ Use Tax if sales tax was not billed appropriately; record, prepare and transmit NJ Use Tax payment quarterly. Function as official company representative to American Express. Initiate monthly wire transfer to IMARK and all other required wires. * Oversee the activities of the Accounts Receivable and Credit and Collections Department to maximize collections and minimize losses; and ensure the prompt accurate application of customer payments and daily reconciliation to the bank deposit. Participate in approving prospective customer credit, approving lien waivers, and assisting in the monitoring and collection of customer aged receivables. Ensure proper application of NJ and other states' lien laws and sales & use tax regulations. * Oversee the activities of the Information Technology Department, ensuring the establishment and maintenance of systems and controls which verify the integrity and security of all systems, processes and data. Work closely with the Executive VP of Sales & Marketing, particularly with identifying business needs; strategies and solutions, evaluating, and recommending/justifying new/proposed or upgraded software applications and hardware that improve overall operational effectiveness and provide competitive advantages for the company. * Provide timely and accurate financial reporting, analysis and knowledge/advice to the President and other functional managers that assist them in performing their responsibilities and contribute to company efficiencies, effectiveness, and profitability. Prepare and send consolidated summary financials to IMARK and the bank quarterly and official audited finanGials in April. Prepare weekly Sales & Gross Margin by Shipping Branch report, comparing month-to-date and year-to dateresults to prior year; send to key managers. * Communicate with co-workers, management, clients, and others in a courteous and professional manner. * Provide tools and support to all operating functions to assist achievement of company/departmental goals and objectives. Includes Sales, Marketing, Purchasing, Pricing, Inventory Management, Operations, & Logistics. The VP Finance's departments should function as a high performance team that provides quality customer service to all internal (and external) departments, promoting continuous process improvement, while also enforcing company policies, procedures and controls across the company. * Maintain ongoing effective vendor relationships including banking, CPA firm, 401 k advisor, 401 k administrator, health insurance, commercial Insurance, ADP, and NJ Workers' Comp. * Coordinate the provision of complete and accurate information to the CPA firm for the annual audit and official consolidated financials, and for corporate income tax returns, all prepared by the CPA firm. Obtain information or advice from them as needed. * Respond to the President as assigned with accurate and timely information and/or advice that facilitates his needs. * Participate effectively in a wide variety of special projects and/or spontaneous issue situations. * Demonstrate the highest standards of ethical behavior and support the policies outlined in the Employee Handbook. Necessary Qualifications: * Strong general ledger, accounts payable, accounts receivable, payroll, income tax, sales/use tax, systems and banking working knowledge. * Bachelor's degree in Accounting, Business Administration or a related field. CPA certification or CPA firm experience or MBA preferable. * Accounting, Finance and IT management experience in a distribution or manufacturer environment with demonstrated business acumen and ability to lead people and achieve successful results. * Thorough knowledge of and compliance with NJ and Federal collection and lien laws and NJ and multi-state sales/use tax regulations. * Courteous and friendly disposition with capability to interface and maintain effective relationships with internal and external partners. * Demonstrated ability to communicate concisely in written and verbal formats. * Proven attentiveness to detail with problem analysis and issue resolution skills. * Demonstrated time management and organizational skills including an ability to plan and manage multiple priorities simultaneously. * Deadline driven and results oriented. * Contractual negotiation and system conversion experience. * Supports employee training and development, seeks emerging technologies and encourages efficiencies gained through technology. * Technical software skills and experience including MS Office, mastery of Excel, and ERP systems. * Proven track record of high ethical standards and exemplary personal conduct both personally and professionally. * Work is in an office environment, travel as needed, and periodic weekend or evening work is expected.
