Job Type: Career Department Name: 1000-PHYSICS & ASTRONOMY Department Website URL: Job Summary Statement: The department manager serves as the Chief Administrative Officer of the Department of Physics and Astronomy, a major research-oriented academic department in the UCLA College of Letters and Science. Reporting directly to the Department Chair, the manager develops and implements the department's goals and plans for administrative, academic, instructional, and research support programs. The incumbent independently exercises authority to solve managerial and programmatic problems and is responsible for long-range strategic planning, coordination, organization, staffing and oversight of all areas of the department. The Department of Physics and Astronomy is one of six academic departments within the Division of Physical Sciences at UCLA. The department has 62 ladder faculty, 37 research faculty, 20 emeriti faculty, and 600 academic and/or research support employees. The department enrolls 185 graduate students in two distinct Ph.D. programs and has an annual course enrollment of approximately 11,000 students in 155 undergraduate and graduate course offerings, many of which include laboratory sections. Responsible for combined academic support, research support and gift and endowments budgets of approximately $50 million in over 250 cost centers and 155,000 assignable square feet of instruction and research space in 4 buildings on the UCLA campus. The manager supervises directly or through subordinates a 36 person professional and technical staff responsible for academic and staff personnel and payroll, budget and accounting, instructional support, student services, machine and electronics shops, computing and network support, facilities, equipment management, administrative support to faculty, engineering and development. Within UC, College and Divisional policies and with the concurrence of the Chair, has full responsibility to take action for policy formation, setting of departmental objectives, problem resolution, implementation of policies and procedures, and follow up. The impact of these actions are felt throughout the department and the campus and directly contributes to the ability of the members of the department to carry out their instructional, research and service missions. Preferred Demonstrated ability to plan and manage complex budgets, complex physical facilities, including teaching and research laboratories, shops, and complex administrative processes. Required Demonstrated skill and experience in staff supervision including organizing workflow, delegating responsibility, training and evaluating effectiveness. Required Ability to work independently, prioritize assignments and follow through with minimal direction. Required Ability to perform effectively under conditions of frequent interruptions, fluctuating workloads and conflicting time demands. Required Demonstrated writing skills for composing, editing and finalizing correspondence and reports in a concise, logical and grammatically correct manner. Required Skill in conducting research on varied topics. Required Ability to maintain strict confidentiality of sensitive information. Required Knowledge of graduate and undergraduate educational programs. Preferred Knowledge of UC and campus financial, administrative and academic organization preferred. Preferred Knowledge of development principles and practices.
