Capita Resourcing is the strategic resourcing business within Capita plc. We are the chosen provider of agency workers and permanent recruitment for the Nuclear Decommissioning Authority (NDA) collaborative framework, across nuclear sites and offices UK wide.


This temporary but important role will be supporting the new MD and Chairman of a new subsidiary. The MD and Chairman will be part of a team of who are being recruited now to form the new management structure. The role holder will be required to enhance the productivity of the MD and Chairman through the provision of effective diary management, travel arrangements, secretarial, analytical and administrative support during this important phase.

Key Accountabilities

Co-ordinating and maintaining the MD and Chairman's diaries, coordinating effectively between them where required, ensuring that commitments and competing demands are efficiently managed and future needs anticipated to enable them to operate effectively

Acting as first point of contact for the MD and Chairman

Preparing all documents & correspondence

Maintaining and updating all files and records, ensuring these are kept accurate and up-to-date for reference purposes

Collating materials, researching and analysing background information to assist as required, including the preparation of document summaries and draft correspondence

Scheduling 1:1 and team meetings for the team involving VC and other technology with companyoffices

Minute taking as required and tracking actions

Dealing internally and externally with the travel provider, liaison with stakeholders, including local groups and businesses, Site License Companies (SLCs), local and central government agencies, etc, to coordinate business meetings and other diary events

Taking notes at progress meetings

Ensuring required paperwork for security purposes for any meetings/visits organised is coordinated through regulatory liaison

Key Requirements

Excellent written and oral communication skills

Ability to show discretion when communicating sensitive and confidential information

Ability to manage multiple tasks in an often fast paced business environment, prioritising tasks appropriately and effectively to meet internal and external deadlines

High degree of organisational ability and attention to detail

Self-starter, able to work unsupervised and on own initiative with the ability to multi-task

Excellent interpersonal skills, including tact, discretion and experience of liaising with stakeholders

Good time management

Ability and willingness to take decisions, even in uncertain circumstances

IT proficient in Microsoft office packages and video and telecommunications proficiency for meetings

Ability to operate in a cross-functional team

Flexible approach to hours of work to meet business needs

Educated to at least A Level standard or equivalent

Typing level 3 or equivalent (55 wpm)

Experience of providing secretarial and PA duties to a senior manager and proven experience of providing effective office management support
