Office Administrator

Location: Coventry
Salary: Negotiable, DOE
Contract: Permanent, FT 37.5hrs

About the Role:

A leading manufacturer in medical devices based in Coventry is looking for an Office Administrator to provide general administrative support within the company and to work closely with the Management Board to ensure a high quality administration service is delivered to the business.

Administrator duties to include:

  • General reception duties including meeting and greeting visitors, signing off deliveries
  • Manage general business calls and correspondence
  • Organise meeting lunches and office provisions
  • Organise and book company meetings, training sessions etc
  • Coordinate the organisation of company and/or charity events
  • Liaise with charities supported by the business
  • Arrange hotels for visitors as required
  • Arrange hire car/airport transfers/taxis as required
  • Manage postal services including sending and receiving mail, courier services and franking machine maintenance
  • Order and manage stationary within annual budget
  • Liaise with the company IT provider to resolve some general IT issues
  • Renew basic IT support services
  • Maintain and manage IT equipment log for the company
  • Support Finance Director and HR in GDPR management
  • Provide administrative support to SFM Directors
  • Together with Commercial function create and publish company newsletter
  • Maintain company organisational chart and ensure it is up to date
  • Take meeting minutes for HR when necessary
  • Organise Christmas cards, Christmas vouchers and gifts for employees
  • Provide administrative support to HR as and when required
  • Any other duties as required by the company

Key skills / abilities:

  • Previous administration experience essential
  • Preferably educated to A Level standard
  • Excellent organisational skills
  • Ability to prioritise and work on own initiative
  • Proactive work style
  • Excellent communication skills both verbal and written
  • Numerate (e.g. GCSE grade C or above or equivalent qualification)
  • Good IT skills with Microsoft Outlook and Word and adequate Microsoft Excel skills
  • Preferably manufacturing or logistics background
