SUPERVISOR:
Director of Finance

SCHEDULE: 20
hours week, typically Monday-Friday, 8am to Noon

WORK
LOCATION: Roanoke Valley SPCA

POSITION
SUMMARY: The Bookkeeper plays an important role by providing support to
the Finance Department. The Bookkeeper is responsible for keeping accurate and
detailed records of cash disbursements, cash receipts, and contributions for
the Roanoke Valley SPCA. The Bookkeeper also assists the Finance Director with
the special events, preparation of monthly financial statements, annual budget,
and annual audit.

SPECIFICATIONS

Cash
Disbursements

• Set up new
and update vendor list in QuickBooks.

• Review and
enter invoices into QuickBooks.

• Prepare
checks for vendor payment and signature.

• Enter
credit card charges into QuickBooks.

• Monthly
reconciliation of credit card account.

• Reconcile
and replenish petty cash as needed.


Preparation of monthly sales tax returns.

• Set up
vendor files and file paid invoices.

Cash
Receipts

• Enter all
deposits into Quickbooks including Daily Deposits, Development Deposits, Click
& Pledge and Credit Card receipts as well as other deposits as needed.

• Bring
deposits to bank daily.

• File all
deposits.

Fund
Development

• Reconcile
development and accounting donation records to ensure accuracy. Research
discrepancies and work with development staff to make corrections.

• Enter
in-kind donations provided by development department into QuickBooks.

• File all
reconciliations and in-kind donation receipts.

Special
Events

• Attend and
assist at various Roanoke Valley SPCA special events.

• Record and
deposit proceeds from special events and other outreach events. • Process and
record credit card payments from special events and other outreach events.

• Prepare
detailed summary of special event income and expenses.

• Prepare
admissions tax returns if needed.

Payroll

• Assist
with processing of biweekly payroll.

Human
Resources

• Assist
with the processing of medical, dental, commercial, and other insurance.

Other Duties

• Remit
monthly copier counts. Fix copiers when they jam. Order and replace toner
cartridges. Call for repairs if needed.

• Order
office supplies.

• Keep track
of postage meter and refill when necessary.

• Other
duties as assigned.

EDUCATIONAL
OR OTHER REQUIREMENTS

• Excellent
communication skills (oral and written).

• At least 2
years of accounting related work experience (minimum requirement). Associates
degree in accounting a plus.

• Experience
using QuickBooks software (or similar accounting software) is required.


Proficiency in using word processing and excel spreadsheets is required.

• Typing
speed at least 50 wpm.

• Ability to
operate designated equipment such as computer workstation, fax machine,
multi-line telephone, calculator, and photocopier.

• Available
to work a Monday through Friday work schedule with flexibility to occasionally
adjust hours to work evenings or weekends when needed for special events
(approximately 6 times per year).

• Experience
in non-profit environment desired.

• Ability to
lift 30 lbs.

• Valid
Virginia driver license.
