We're looking for an experienced and highly motivated production coordinator with outstanding organization and communication skills to assist in the management and execution of our production projects. The production coordinator will have a deep understanding of production procedures and operations and will directly manage the day-to-day schedules and production needs for various projects. This person will be directly involved in managing and overseeing the ongoing production, studio facilities and operations of multiple projects, deliver various solutions on time and on budget, and will play a major role in the management and execution of deliverables of those projects. This person must be able to work independently while contributing to the goals of the team, work quickly and efficiently while within budget, multitask with a high-volume workload, and remain productive and positive in high-pressure situations. Responsibilities:
  • Ensuring production is running efficiently and smoothly
  • Serving as the primary production contact to ensure partners successfully deliver within approved schedules, deadlines, and budget parameters
  • Tracking and maintaining the production calendar and milestones for all projects
  • Working with human resources to create, update and proactively maintain inward and outward-facing production resources (manuals) and documents (forms)
  • Developing and continually updating production best practices guides and refine evolving production guidelines
  • Collaborating with internal teams to establish workflow policies that enhance speed and efficiently without compromising production safety and integrity
  • Spearheading production meetings to ensure clear communication, dissemination of information, acknowledge accomplishments and discuss challenges
  • Working with the producers to hire crew and/or contractors for different productions, ensuring that the staffing needs of each show are met
  • Serving as company point of contact for venues, equipment and device rental vendors
  • Managing outgoing costs for budget tracking purposes
  • Overseeing, planning and creating schedules for production employees to ensure optimum staffing levels
  • Coordinating all documents with contracted employees and vendors and ensure all necessary paperwork is completed in a timely manner
  • Responsible for the proper introduction and onboarding of appropriate scheduling tools and processes to the crew
  • Estimating and negotiating budget, costs and timescale agreements with vendors and crew, and renegotiate as necessary
  • Review and approve timecards ensuring accuracy
  • Arranging production meals and travel
  • Overseeing location bookings and arranging any necessary permissions and risk assessments
  • Maintaining inventory of materials and parts needed to complete production projects and select, order and purchase materials as needed or required for production
  • Negotiating costs and approving the booking of resources, equipment and suppliers
  • Working with various department heads to order equipment and arrange equipment packaging and delivery
  • Ensuring all aspects of compliance (health, safety, etc.) are being met and company policies and procedures is met at every production
  • Working with legal and corporate risk management
  • Making sure that insurance, health and safety rules, copyright laws and union agreements are followed
  • Having an understanding of production insurance issues and location agreements
  • Report detailed production activity to the producers so they can maximize creative goals for the production while staying within allocated budgets
  • Ensure that the team culture is one of timely feedback (with both positive praise and constructive criticism)
  • Working with cross-functional teamsto ensure that productions are successfully delivered and positioned for success (Creative Executives, Post-Production, Distribution, Product Creative, Marketing)
  • Communicating with the operations team and keep them abreast of any production related issues
  • Provide mentorship and opportunities for growth for the production staff, including interns or junior staff members Requirements
  • Minimum 2 years of experience in TV or live production
  • Comprehensive knowledge of the production processes, management and operations
  • Understanding of quality standards and health & safety regulations
  • Knowledge of budgeting concepts and a deep understanding
  • Experience in reporting on key metrics
  • Impeccable organizational, communication and time-management skills
  • Strong multitasking and decision-making skill with a results-driven approach
  • Proficient in MS Office Word, Excel, PowerPoint, Outlook, Internet Explorer, and
  • Internet search engines
  • A passion for esports and video games
  • Must be 18 years or older
