Position Summary

The Project Administrative Assistant provides support for assigned project teams including Development, Architectural & Construction. The position also supports the project teams with organization, subcontractor relations and scheduling. File maintenance for project contracts and finance records is another main responsibility.

Job Duties and Responsibilities
  • Releases approved subcontracts in the accounting system based on established Sarbanes-Oxley criteria
  • Compiles, sends, receives and reviews subcontract packets for vendors
  • Enters professional service agreements and amendments into the accounting system
  • Creates and finalizes change orders based on approval of Project Manager
  • Scans and files entered subcontractor draws and pay applications in standard project folder locations
  • Mails checks and remittance advices to subcontractors and service providers
  • Books travel and itinerary for project team members
  • Processes expense reports for project team members in Workday as needed
  • Assists the accounting and finance teams with audit requests for backup documentation
  • Performs general delivery support of documents via email, fax, courier, overnight as appropriate

Position Requirements
  • High School Diploma or GED
  • 2 years working in a corporate support environment
  • Knowledge of computer software such as Microsoft Office

Preferred Requirements
  • Bachelor's degree in a related field
  • Experience in the construction industry
