Responsibilities and Qualifications

As with this ever present CamelBak value, we expect the same passion and approach within the Administrative Support Coordinator. The Administrative Support Coordinator is the face of the brand, being the first point of contact for all external and internal connections in the Petaluma office. Must build and maintain positive and nurturing relationships in order to facilitate a strong team environment among our Associates. Provides primary upkeep within the office as well as facilities coordination including shipping and warehouse support.

Front Office Administration
  • Ensure that all incoming telephone calls are properly, clearly and professionally answered in a timely manner with contextual understanding of the need and resolution
  • Coordinate schedules with other support members for relief requirements as needed
  • Meetings/Conference Room coordination: Manage various calendars, set up meetings (calendar notices, conference rooms, menu if needed, call in number etc.)
  • Manage inventory and ordering of office and kitchen supplies
  • Assist with coordination of recruiting activities; screening, scheduling, communicating with candidates
  • Maintain the Bak to Health snack station within budget; ordering, waffle Wednesdays, replenishment and Associate communications
  • Responsible for ordering supplies and business cards & distributing accordingly
  • Order and maintain office equipment such as the copier, printers, faxes, & postage meter as well as maintenance of such equipment
  • Oversee special Associate programs; movie tickets, massage schedule, sample sale, etc.
  • Assist with special Associate events set-up and clean-up
  • Provide back up for all shipping and receiving of Federal Express, UPS, DHL as well as all outgoing and distribution of regular mail on a daily basis
  • Other administrative or coordination duties as assigned.

Facilities and Building Coordination
  • Under the supervision of the Administrative Support Supervisor, manage the Petaluma facility, which includes but is not limited to, supplies, appearance, maintenance, front desk functions and budgets
  • Manage alarm functionality for the facility; to include key fob programming and door hours programming
  • Coordinate all safety items for the facility to include fire evacuation, first aid training and CPR training
  • Coordinate the repair and maintenance of the office area
  • Coordinate internal associate moves as directed by HR
  • Maintain a sustainable approach to office management and vendors

Position Requirements:
  • High School diploma or equivalent degree
  • 1-3 years related experience office and/or facility experience
  • Efficient time management skills with the ability to multi-task
  • Strong knowledge of general office practices and procedures
  • Excellent people and presentation skills
  • Excellent verbal and written communication skills
  • Ability to work effectively and foster a positive environment for both our external clients and CamelBak Associates
  • High degree of initiative
  • Previous front desk and multi-line telephone experience highly desirable
  • Excellent MS Office skills (Outlook, Word, Excel)

Working Conditions:
  • Computer terminal use 6 hours per day
  • Ability to safely lift up to 50 lbs. without assistance
