Purpose
S&P is hiring for an individual with a specific skill set with a
positive and ambitious attitude in supporting the project for
Westbank's newest high-rise development located in Downtown
Seattle. The purpose of the Operations Manager role is to lead the
overall sales operations for the project. The Operations Manager
will provide direction and leadership to the operations support
team while simultaneously collaborating with the Sales Director in
the planning and coordination of sales operations. Supporting sales
is an integral part of the role as it ensures the team is set up to
deliver a high level of experience and optimize sales. Reporting
directly to the Operations Director, the Operations Manager also
works closely with, and indirectly reports to the Sales
Director.
Primary Duties and Responsibilities
Office Management

Lead the coordination and set up of the Contact Centre and
Sales Gallery from the perspective of sales operations processes
and requirements
Establish the team and office infrastructure to provide the
necessary support and resources
Support the Operations Director in creating the project
operations budget as part of the S&M Strategy
Assist with the set-up and/or training of team hardware devices
such as the office phone system, laptops, multifunction copier,
etc. and any onsite technology used for the project like
interactive screens/stations
Direct the Operations Team in the establishment and execution
of day-to-day procedures involved with operating the Contact Centre
and Exhibition/Sales Gallery according to the S&P project
standards
Work with the Sales Director to manage the sales appointments
calendar and scheduling process as part of the initial launch
Coordinate the delivery, storage, and management of any and all
project collateral and office supplies

Project Administration

Establish, document and manage all operational procedures
relating to demand generation initiatives determined by the
project's bespoke sales strategy
Collaborate with the Managing Director, Operations Director,
and Sales Director to develop contract drafting and signing
protocols
Manage the project database in MarketMatch and ensure the data
is collected per standards and is complete, accurate and relevant
for all stakeholders
Review and audit all contracts while monitoring for any
deficiencies that need to be addressed; facilitate the
communication of all contract-related information to the applicable
stakeholders
Manage record keeping for all contract-related correspondence
and documentation across platforms including but not limited to
MarketMatch, cloud storage platform, and the contract file
folder
Implement a thorough tracking and documentation protocol for
any and all forms of a deposit received and comply with local laws
relating to handling of deposits
Manage and own project checklists and processes for enabling
operational excellend and standards
Assist the Developer Client during the closing process as
needed with items ranging from appraisal scheduling, communicating
closing notifications, and facilitating the execution of any
documents required before the closing process can be initiated
Provide support for special projects or initiatives as
needed

Team Management:

Provide operational support to sales team as as needed to
enable them to focus on maximizing sales
Train all project team members on MarketMatch, ShareFile and
other project-based systems and provide ongoing support as
needed
Determine the support team roles & responsibilities
structure
Create the monthly schedules for the support staff and source
additional support as needed for high-demand phases/events
Approve and process employee timesheets and out of office
requests
Maintain safe and healthy work environment by following and
enforcing standards and procedures; complying with legal
regulations

Reporting & Continuity

Manage the production of regularly scheduled reports like the
project daily, weekly, and monthly reports
Design reports to review project-specific performance metrics
such as demand generation analyses, marketing initiative
performance, and sales team conversions
Collaborate with the project marketing team to establish
processes and standards surrounding event and eBlast performance
reporting
Document all aspects of project operations processes and
standards in the form of a comprehensive operations handbook and/or
a compilation of task-specific checklists; ensuring the
documentation is comprehensive, holistic, and supports the
continuity of project intelligence
Create adhoc reporting as needed by management to optimize
marketing effectiveness or sales
Provide other such ancillary duties as the position
requires

Qualifications & Competencies
Required
Qualifications include:

2-4 years of relevant experience in operations preferably
working within the real estate, high end retail/hospitality
industries;
2-3 years working in management of real estate or related
contract administration;
Demonstrated leadership, excellent interpersonal skills, and a
drive to succeed in his/her chosen profession;
Skilled in listening and being able to collate information &
gain agreement;
Self-motivated and able to demonstrate resilience;
An objective style with the ability to challenge in a positive
way;
Outstanding organizational and facilitation skills with a
strong attention to detail;
Excellent verbal and written communication skills;
Confident, credible, and articulate - ability to deal with high
net-worth buyers on a sophisticated level;
Experience with Lasso and Salesforce an asset;
High levels of proficiency with Microsoft Excel, PowerPoint,
Word, and Salesforce;
Professional in demeanor and appearance, a self-starter,
efficient, and a "team player."

Working conditions and Physical
Requirements

Able to work flexible hours and possibly evenings and
weekends
Ability to lift approximately 35lbs
Able to travel as needed including outside the United
States
