Fuels Strategy Clerk

Assists the Fuels Strategy and Energy and Fuel departments with fuel deal tracking and with other administrative duties relating to the Penske Fuel Program Sales. Support will be provided to coordinate the completion of fuel deals between Penske and its customers - this includes researching existing fuel language in PaperVision, requesting Schedule A Amendment documents from Penske Legal, updating Fuel Program PowerPoint presentations, creating customer facing Excel savings and other files, and converting schedules in Word into PDFs for sending to customers. Provides customer support by mailing processing refund checks, verifying reconciliations, monitoring the email account. Additional duties include maintaining the fuel activity log and to spot trends in requests. Several weekly and monthly processes include running market price data for distribution via the Penske intranet, maintaining truck stops in vendor files, and working collaboratively with the Customer Sales and Support team, the Customer Onboarding team, and field and sales associates with fuel related items.
-Maintain and manage fuel deal tracking
-Maintain and manage activity log
-Follow up with sales associates to find out if deal proposed was accepted by customer
-Schedule A Amendment requests to legal, distribution to sales associate(s), contract administration, and redistribution back out to sales associate
-Ensuring fuel markup records are set up correctly
-Master Tracking file management (Excel file tracking of fuel deal determination based on full document review of all customer documents in Paper Vision)
-New customers from Customer Onboarding fuel deals reviewed to ensure customer is set up as a deal type 4 or deal type 2 (market pricing or OPIS Daily); eliminating erroneous cost based setups for US (HPTL) customers.
-Other projects as assigned by the supervisor.
Check Reimbursement Coordination:
-Work with team of fuel analysts in India on OPIS and truck stop discount reconciliations; verifying refund amount, requesting check, sending check and reconciliation file to sales associate
-Request checks for CAT scale vendor reimbursement as needed
-Other check requests as needed; research of checks as needed Fuels Strategy
Email - single point of contact:
-Initial logging of email requests for information/assistance related to fuel requests
-Maintain Answer Book in Fuels Strategy share folder and share new learnings with other fuel team members
-End to end management of requests for information or assistance beginning with the initial response to the final resolution
-Verify daily that our market prices are not lower than the floor of Locked Cost + 4 cents per gallon (cpg)
-Key market price changes as required; Tuesdays and Thursdays while on the manual, Access database driven fuel pricing model
