Senior Executive PA/Business Manager to Chief Operation Officer
Client: Government department

Maximum day rate £445 to candidate inside of IR35
Period 6 month
Start date ASAP
Locations: Birmingham Leeds Nottingham Manchester Newport Norwich Swindon

This role will require you to have or be willing to go through Security Clearance. As part of the onboarding process candidates will be asked to complete a Baseline Personnel Security Standard; details of the evidence required to apply may be found on the government website Gov.UK. If you are unable to meet this and any associated criteria, then your employment may be delayed, or rejected. Details of this will be discussed with you at interview

Key Responsibilities:

  • Handling the COO inbox - triaging and handling emails, assessing what they need to see, and ensuring that systems are in place for all to be dealt with effectively and within deadlines;
  • Write up action points from meetings; assign them to the relevant owners; ensure that they are acted upon on time and to standard; escalate issues/concerns and so on as necessary.
  • Support the drafting of papers and presentations and reviewing emails assign them to the relevant owners; ensure that they are acted upon on time and to standard; escalate issues/concerns as necessary.
  • Work closely with members of the COO team and Deputy Directors executive assistants ensuring that the COO priorities are met.
  • Be responsible for compiling regular reporting - compiling weekly notes.
  • Building relationships across the COO remit and leading on communications plans.
  • Responding to changing circumstances, taking initiative and personal responsibility as necessary to ensure delivery of the COOs key responsibilities;
  • Ensuring that the COO is supported on a day-to-day basis with briefing and other information needed for them to carry out their role effectively;
  • Supporting the COO on all relevant policy, strategy and transformation areas, taking responsibility for submissions and meetings on these areas, acting on commissions, recording meetings, drafting and monitoring the progress of work to ensure timely delivery.
  • Secretariat for People Committee and people champion for COO.

Skills & Experience:

  • Strong negotiation and influencing skills;
  • Calm under pressure, resilient and persistent, with a proven ability to cut through complex and time sensitive issues and achieve success despite obstacles or setbacks;
  • Strong organisational skills with the ability to manage and prioritise your workload to meet, changing demands and delivery targets - you will play a key part in prioritising issues and supporting the COO in managing their portfolio of work;
  • Strong management and leadership skills;
  • Strong desire to constantly look for better ways of doing things;
  • Highly developed interpersonal and communication skills (written and oral)
  • Be effective in building and maintaining positive working relationships and networks with internal and external stakeholders;
  • Be proactive, taking ownership and accountability for decisions and commitments;
  • You'll ensure that the detail is right while applying a lateral perspective, so that you retain a focus on the overarching strategy and bigger picture issues.
