Job Summary:
The Administrative Assistant will provide a range of proactive administrative support and issue resolution for the Head of Systematic and Factor Investing and the North America based Systematic and Factor Investing team, working in a fast-paced, high-demand environment.


Key Responsibilities:



  • Heavy calendar management and consistent collaboration with other Administrative Assistants across the firm

  • Lead meeting coordination and logistics planning in partnership with other administrative assistants on time sensitive meetings and tasks

  • Maintain structure and schedule of prep/debrief meetings for key senior leadership meetings and committees

  • Comprehensive travel management. Maintain travel log, schedule, and analysis

  • Manage expense reports and invoice review and approval

  • Monitor calendar and outstanding issues and look ahead to upcoming decisions and events to ensure executives are prepared and know what to expect

  • Research, prioritize, and follow up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature

  • Provide a bridge for smooth communication between internal departments and external clients

  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures

  • Answer phones and route calls to the correct person or take messages

  • Plan/organize and implement events such as meetings, business luncheons, or client dinners

  • May help plan company events, meetings, and employee team building activities or special projects

  • Maintain and renew all professional fees/licenses


Work Experience/Knowledge:



  • 5+ years administrative/professional office experience

  • Advanced computer skills in Microsoft Office (Word, Excel, PowerPoint), must be proficient in document management & creation with demonstrated ability to combine documents from all MSOffice products & Adobe Acrobat into one seamless document

  • Ability to multi-task under pressure with proven organizational skills

  • Must be able to work with multiple constituencies at every level in the organization

  • High attention to detail and accuracy

  • Experience handling confidential matters with sensitivity and discretion

  • Strong customer service orientation along with the ability to prioritize most important situations and push back less important situations in a constructive way

  • Ability to learn new software packages as needed with the expectation to be proficient in a short amount of time

  • Proven communication skills, both verbal and written

  • Ability to prioritize work and meet tight deadlines


Formal Education: (minimum requirement to perform job duties)


  • Bachelor's degree preferred
