We have an exciting opportunity to join our operations team as Manager, Contract Administration.
The Manager, Contract Administration will support the AVP of Strategic Sourcing. This role has team support responsibilities as a key sourcing team member and assists with all sourcing activities related to the IDN contract portfolio.
The Manager, Contract Administration will assist the AVP of Strategic Sourcing in effectively carrying out supply chain strategic goals into tactical objectives, and will actively create and maintain strategic alliances with key stakeholders both internally and externally to innovate and cultivate contracting opportunities for the IDN facilities.
In addition, this individual will actively collaborate with the AVP of Strategic Sourcing, Director of MMIS Systems, Ardent VP of Supply Chain, VP's of supply chain and clinical resource leaders to develop effective synergies between the departments' clinical and contracting activities to drive synergies and customize physician preference items to meet local needs. The Manager, Contract Administration will provide exceptional customer service to all customers by establishing appropriate expectations and support the Supply Chain Strategic Sourcing team to produces quality deliverables in a timely fashion. Strong analytics skills for contract reviews, aggregation of market shares and cross-walks and organization of contract details are a critical daily function of this role.
Primary duties & responsibilities
Serves as the support to the AVP of strategic sourcing and assists other functional areas related to developing and delivering outcomes that align favorably with the objectives assigned to the strategic sourcing functions of Supply Chain.
Meet or exceed contracting goals established in annual Supply Chain work plan.
Uses analytic skills to support tracking of quantifiable key performance indicators for the Strategic Sourcing team. Will use Excel and other tools for organizing and tracking projects, team objectives, strategies and/or processes as a key support to the AVP of strategic sourcing and the supply chain team so that these metrics are attained and maintained within defined acceptable ranges.
Supports the AVP of Strategic sourcing with planning and meetings and to effectively support proactive and ongoing contract strategy development, negotiations support, execution tracking, and uploads and review of MediTract contract management.
Actively collaborate with Director of Supply Chain Systems with the AVP of Strategic sourcing to clean up courtesy and local agreements and improve pricing parity for the IDN.
Assists with loading of new agreements and clean up review/inactivation of old agreements
Collaborates on a regular basis with the senior supply chain team, market supply chain leaders and the local MMIS team of the IDN.
Supports the AVP and Supply chain team's sourcing objectives for the IDN and ensure effective communications that mutually support the teams' objectives.
Keeps team room and other shared folders update and communicates to end-users accordingly
Active analysis of current contracts with AVP to identify new contract opportunities for negotiation, standardizations or clinical integration initiatives.
Works independently and as a critical team member to help develop a plan of action on current local and custom agreements to find pricing parity and work with item master team on contract maintenance in existing MMIS systems.
Collaborate with HealthTrust Account Director on HealthTrust contracts and the S2 process
Utilizes Broadjump, inSight, Valify and other analytic suites to support the strategic sourcing team.
Supports the AVP of Strategic sourcing for concurrent review of HealthTrust and locally-negotiated agreements for standardization of contract process across the IDN.
Actively participate in cross-communication between the teams regarding industry updates and other pertinent developments.
Assist the supply chain team in the mutual attainment of goals and objectives.
Assists the AVP and Director of Supply Chain Systems to resolve market contract service issues.
Supports the team to manage and improve general overall processes for Supply chain contract Services.
May assist with other contract needs in specialty areas of pharmacy and purchased services as needed. Contract projects may cross to these areas and the Strategic Sourcing Manager will assist on other supply chain projects and analyses as needed.
Supports the AVP on building and maintaining strategic alliances with key stakeholders both internally and externally while organizing contracting opportunities and service offerings for the IDN markets.
Supports the AVP of Strategic sourcing and the Supply Chain team in change management as needed to drive adoption of those activities that support the organization's growth, maturation and innovation of its service offerings.
Maintains Master Contract log and contract repository (MediTract) and ensure accurate, complete, and timely entry. Use a standard nomenclature to ensure accurate searching and reporting needs are met. Coordinates contract updates with the contract management team.
Actively seeks opportunities for education and growth to match the evolving needs of the organization and sophistication of the changing market needs and new product introductions.
Supports the AVP of Strategic sourcing and supply chain team with presentation materials to support negotiation and communication of contracts throughout the organization. May co-present or present when requested to support the strategic sourcing and supply chain team.
Accredited College Bachelor's Degree required.
A master's degree in a business or healthcare discipline is preferred.
Minimum of 5 years of analytics experience.
Direct experience in healthcare, contracting for supply chain operations or supply chain is preferred.
Provide examples of analytics work and proven experience in supporting team goals through analytics and organization of data for presentations toward desired outcomes, setting high-performance standards and delivering quality work.

Expert knowledge in the area of supply chain operations and the medical-surgical purchasing industry
Knowledge of project management and process improvement methodologies
Knowledge and understanding of the organizations policies, procedures and business processes
Knowledge of advanced negotiation tactics
Strong team and people leadership skills
Skilled in upward communication as well as across and downward communication to inform and influence others no matter where they fit in the organizational chart
Ability to understand, synthesize and make quantitative/qualitative assessments of medical/surgical market, purchasing, and clinical data
Ability to communicate clearly and make presentations of varying complexity levels to audiences of various organizational roles and levels of responsibility
Ability to work effectively with experts from many healthcare specialties as a team member, coordinator and/or facilitator
Ability to maintain professionalism in potentially difficult situations
Ability to adapt and create new ways to view and review data to determine opportunities. Will learn and become subject matter expert for new software platforms and analytic suite tools
Proficient in Microsoft Office applications and other software/systems
