Financial Pacific Leasing is seeking an Administrative Assistant to join our team in Federal Way! This role provides administrative support to the Asset Management, Loss Recovery, Legal and Bankruptcy departments..*Essential Job Function*.*Daily* 1. Prepares blue and yellow worksheets to credit net sale proceeds on a daily basis. 2. Performs asset data entry related to sales inventory, repossessed inventory, FMV's, and sales data, etc. 3. Maintains filing of all Asset Management documents to include letters, worksheets, invoices, condition reports, remarketer schedules and notes and other misc. information as requested. 4. Releases and tracks delivery of titles on sold assets to re-marketer and or end users on a daily basis. 5. Creates and sends all Asset Management invoices as needed 6. Creates and sends Intent and 10 day letters for the Asset Management Departments in house sales. Verifies that the account is not in bankruptcy and removes from mailing. Verifies that amount is on letter. 7. Creates and sends all 10 day intent letters for outside sales of equipment. 8. Processes legal bills, ensuring that they are paid in a timely manner 9. Enters legal bills to a spread sheet for management and enters all paid legal bills into Artiva. 10. Enters all paid Legal Bills into Artiva. 11. Opens, sorts, locates lease number, and lease name for Loss Recovery, legal and the Bankruptcy departmental mail. 12. Enters Bankruptcy information, notifications, etc. into Artiva. 13. Requests copies of titles and UCC 1's for files being sent to courts and attorneys 14. Prepare all overnight for Bankruptcy, Legal, Loss Recovery, NBD, and Asset Management. 15. Processes litigation packets and demand letter requests for the legal department when needed. 16. Regular and predictable attendance and punctuality.*Weekly/Monthly* 17. Maintains accuracy of Asset Management sub files by filing repossession, sales, miscellaneous information and scanning and indexing to Accorde. Once a year, prepare files to be sent to storage. 18. Processes Asset Management expenses via blue or yellow worksheets as received. 19. Audits, tracks and verifies funding following the sale of assets (on a weekly, monthly and quarterly basis). 20. Audits weekly sales reports from re-marketers and enters sale price and commission in Access database 21. Tracks legal files by assigned attorney. Tracks fees and charges per service and total cost. Reconciles attorney invoices to tracking report. 22. Collect time cards each Monday or as needed from 31-60, NPA, NBD, Loss Recovery, Legal, and Asset Management. 23. Process employees time cards in ETS and ensure they are accurate. 24. Once a month, complete an internal month end sales audits by: Using the missing information report and the not sold data base. Audit for missing information in Isaac, Artiva, and the Access database. Do data entry to update the missing information. 25. Processes all bills of sale for the Asset Management department on Tuesday's or Thursday's each week in Access database and Artiva. 26. Process letters for the ending buyout accounts in Artiva..*Quarterly* 27. Performs paper remarketer audits quarterly by comparing remarketer inventory to FP inventory and contacting remarketer to resolve differences. Issues not resolved must be brought to management's attention. 28. Processes portfolio sale packets.*Other Responsibilities:* 1. Provides highest level of Customer Service to all lessees, vendors, brokers and staff. 2. Maintains confidentiality of all company information. 3. Develops and maintains positive relationships with all Financial Pacific Leasing managers and staff. 4. Assists and supports other staff as needed. 5. Performs all other duties as assigned by management. 6.
